We are seeking a highly proactive and experienced
Warehouse Operation Executive responsible for overseeing day-to-day warehouse activities, within a
Life Science and Healthcare warehouse operation. This includes receiving, storing, picking, packing, inventory control, dispatch of goods and Value-Added Services (VAS). This role will need to manage and support a warehouse team, and ensure the warehouse operations are carried out efficiently, comply to HSSE (Health, Safety, Security and Environment) procedures and in accordance with company standards and customer expectations. The ideal candidate will have a strong work ethic, attention to detail, and a team-oriented attitude, in delivering operational performance to achieve a consistently high level of customer satisfaction.
This role will work closely with the Warehouse Team and Operation Manager to ensure all customer and operational requirements are effectively met.
Key Responsibilities
Operations Management
- Coordinate and monitor daily warehouse activities, including inbound, storage, outbound and Value-Added Services (VAS)
- Ensure accurate receiving and timely dispatch of goods
- Supervise and support warehouse team to ensure proper execution of warehouse activities
- Maintain inventory accuracy through regular cycle counts, stock take, and stock reconciliation
- Ensure compliance with health, safety, security, and environment (HSSE) standards
- Generate system reports to support and optimize the continuation of warehouse activities
- Liaise with internal departments and suppliers, as needed
- Support process improvements and implement best practices in warehouse operations
- Handle documentation such as delivery orders, invoices and stock movement reports
- Conduct regular team meetings and provide ongoing training and support
- Handle any performance or conduct issues in collaboration with immediate Superior and/or with the Operation Manager
- Previous warehouse experience in Life Science and Healthcare is an advantage but not essential
Customer Relationship Management
- Act as the ground operational member, ensuring daily operation activities are executed smoothly, in accordance to the business objectives
- Act as the key operational contact with customer and suppliers, ensuring smooth communication, quick issue resolution, and alignment on operation matters
Cost & Resource Management
- Drive operational productivity, continuous improvement efficiency and cost control initiatives with operation team
- Work with Operation team on resource planning to better optimize use of resources for daily operation
- Support business planning, forecasting, and budgeting processes
Stakeholder & People Management
- Build strong working relationships with internal operation team members and customer
- Manage staffing, training, and performance of operational teams
- Foster a culture of accountability, safety, and delivering performance
- Process review, Improvement & Compliance
- Lead continuous improvement projects to enhance productivity, service quality, and safety
- Ensure documentation and SOPs are updated and aligned with audit requirements
- Prepare for and support internal and external audits (quality, regulatory, and customer)
Job Requirements
Qualification & Experience
- Minimum Diploma or Certificate in supply chain, logistics, operation management
- Minimum 5 years of experience in the warehouse/logistics operations
- Familiar with Microsoft Office applications
- Strong attention to detail and organizational skills
- Proven experience in a warehouse or logistics environment in a team leader role
Key Competencies
- Good physical fitness, ability to lift and move heavy items, using appropriate equipment
- Good communication and Attention to detail and accuracy in warehouse operations
- Ability to work as part of a team in a fast-paced environment
- Knowledge of warehouse management system (WMS), but not essential
- Ability to work under pressure and meet deadlines
- Flexibility to work in various shifts including weekends and public holidays, if required
- Forklift licence, if any
- Experience in using material handling equipment (MHE), but not essential
