Job Description

Job Scope

1. Visa Application Processing

  • Assist clients with visa application procedures for various countries (e.g., Malaysia, Japan, Korea, China, Schengen countries, etc.).
  • Check and verify supporting documents for accuracy and completeness.
  • Fill out and prepare visa forms according to embassy or consulate requirements.
  • Track and manage multiple applications, ensuring timely submission and collection

2. Client Support and Advisory

  • Advise clients on visa requirements, processing times, and embassy regulations.
  • Provide updates to clients on application status and handle enquiries professionally.
  • Liaise with clients to ensure document submission deadlines are met

3. Embassy Liaison

  • Coordinate with embassies, consulates, and visa centres to submit applications or resolve issues.
  • Keep up-to-date with changing visa policies, embassy announcements, and travel advisories.

4. Administrative Duties

  • Maintain accurate records of all visa applications and receipts.
  • Prepare invoices and handle payment collection related to visa services.
  • Generate daily or weekly reports for management on visa application progress.

5. Internal Coordination

  • Work closely with tour consultants, sales, and operations teams to align visa processing with travel itineraries.
  • Flag potential visa issues early and propose alternatives or solutions.

6. Customer Service & Problem Solving

  • Handle urgent or problematic cases with professionalism and efficiency.
  • Offer alternative solutions when visa rejections or delays occur.

Job Requirements:

Education & Experience

  • Minimum GCE O Level / Diploma in Business, Tourism, or related field.
  • At least 1-2 years of relevant experience in visa processing or administrative support preferred.
  • Fresh graduates with strong administrative or customer service skills may be considered.

Knowledge & Skills

  • Good understanding of embassy/consulate operations and documentation standards.ia, China, Japan, Korea, Schengen, etc.).

  • Proficient in Microsoft Office (Word, Excel, Outlook).
  • Ability to handle sensitive documents with confidentiality and accuracy.

Communication & Interpersonal Skills

  • Good written and spoken English. Ability to speak Mandarin is required to communicate effectively with Mandarin-speaking clients.
  • Excellent customer service and communication skills.
  • Able to communicate effectively with clients, embassies, and internal staff.

Personal Qualities

  • Detail-oriented, organized, and able to handle multiple applications efficiently.
  • Responsible, trustworthy, and able to work independently with minimal supervision.
  • Team player with a positive attitude and problem-solving mindset.

Other Requirements

  • Able to start work at short notice will be an added advantage.
