Trade Operations Specialist

Brief Summary

We are seeking a skilled Trade Operations Specialist to manage shipments, ensure regulatory compliance, and maintain effective communication with stakeholders. This role emphasizes accuracy in documentation and timely execution of operational tasks.

Responsibilities

1. Oversee order fulfillment processes, including understanding contractual obligations and managing shipment requirements.
2. Prepare shipping documents in accordance with customer specifications and verify payments to suppliers and service providers.
3. Generate invoices and ensure compliance with Letter of Credit (LC) requirements, liaising with banks for negotiations when necessary.
4. Perform warehouse management duties such as stock reconciliation and billing, ensuring timely completion of month-end transactions.
5. Track shipments and proactively resolve any operational issues that may arise.
6. Maintain up-to-date records in internal systems regarding shipment status, cash flow for receivables and payables, and associated documentation.
7. Coordinate with internal and external stakeholders to facilitate smooth operations and follow up on customer payments promptly.
8. Collaborate with overseas offices and warehouse providers for accurate documentation pertaining to customs declarations.
9. Execute additional tasks and assignments as required by management or supervisors.

Requirements

1. Bachelor's degree is highly preferred.
2. 3-5 years of relevant experience in trade operations, particularly in non-ferrous commodities such as aluminium and base metals preferred.
3. Ability to manage a high volume of transactions in a dynamic environment.
4. Familiarity with UCP600 regulations and experience in LC negotiation with banks.
5. Understanding of Incoterms such as CIF, CFR, and Ex Works.
6. Experience in handling container shipments and warehouse operations is advantageous.
7. Proficiency in Microsoft Excel, including pivot tables and VLOOKUP.
8. Strong attention to detail and meticulousness in task execution.
9. Excellent communication and interpersonal skills, with a collaborative approach to teamwork.
