Job Description
The Trade Operations Executive is responsible for managing and coordinating end-to-end international trade operations involving bulk vessel shipments, ISO-tank containers, drums, and IBC (Intermediate Bulk Container) packaging. The role ensures seamless execution of export/import transactions, shipping documentation, logistics coordination, regulatory compliance, and trade finance activities, including the handling of Letters of Credit (L/C).
Key Responsibilities
Trade and Shipping Operations:
. Coordinate and monitor import and export shipments via bulk vessels, containers, ISO-tanks, drums and IBC packaging.
. Arrange bookings with shipping lines, vessel operators, freight forwarders and logistic service providers.
. Track shipment schedules and ensure timely cargo loading, discharge and delivery.
. Liaise with customers, vendors and shipping agents to ensure a smooth cargo movement.
. Monitor inventory and packaging requirements to support shipment planning.
Documentation and Compliance:
. Prepare and verify import and export documentation, including:
. Commercial Invoices(CI), Packing List, Bills of Lading (B/L), Certificates of Origin (COO), Certificates of Analysis (COA), Insurance Certificates (for CIF shipments), Dangerous Goods Declarations (if applicable)
. Ensure compliance with international trade regulations, customs requirements, and incoterms.
. Maintain accurate shipment records and operational reports.
Letter of Credit (L/C) and Trade Finance:
. Review and interpret L/C terms and conditions.
. Ensure all shipping documents comply with L/C requirements to avoid discrepancies.
. Coordinate with banks, customers, and internal stakeholders regarding L/C negotiation and document presentation.
. Prepare and submit L/C documentation within stipulated deadlines.
. Support collections, bank guarantees, documentary collections, and other trade finance instruments.
. Monitor payment status and resolve discrepancies related to trade documentation.
Customer and Stakeholder Management:
. Serve as primary contact for customers regarding shipment status and documentation.
. Coordinate with sales and finance teams to ensure efficient order execution.
. Address operational issues, shipment delays and customer enquiries on shipment status promptly.
Operational Risk Management:
. Monitor vessel schedules, freight costs, demurrage, detention, and port-related charges.
. Identify operational risks and propose corrective actions.
. Ensure compliance with company policies, HSE standards, and regulatory requirements.
Position Requirements
. Bachelor's Degree or Diploma in Logistics, Business/Supply Chain Management, Maritime Studies, or related
field.
. At least 2 - 3 years of experience in trade operations, shipping, logistics, or commodity trading.
. Experience handling bulk vessel shipments, ISO-tanks, drums and IBC packaging.
. Practical experience in import/export documentation and customs processes.
. Hands-on experience with L/Cand trade finance documentation.
. Experience in chemical, petrochemical, or other commodity trading industries.
. Strong knowledge of international shipping practices and incoterms.
. Familiarity with bulk liquid cargo operations and tank logistics.
. Good understanding in trade finance instruments, especially L/C.
. Excellent documentation and attention-to-details.
. Strong communication and stakeholder management abilities.
. Ability to manage multiple shipments simultaneously.
. Knowledge in IMDG(International Maritime Dangerous Goods) Code, hazardous cargo regulations, and bulk liquid cargo operations.
. Conversant in Chinese reading and writing will be advantageous to liaise with Chinese speaking associates and China HQ office
