Support daily activities of the Team Leaders and project teams
Take instructions and respond to emails / letters
Arrange internal and external meetings, setup virtual meetings via Teams
Receive guests and arrange meeting rooms, refreshments and presentations
Handle travel arrangements - flight reservation, hotel accommodation
Data entry and update of clients database / name cards
Cover the reception counter whenever required
Tendering Duties
Coordination and compilation of bid documents, tender questionnaires and pre-qualifications, preparation of presentation materials, reports, specifications, fee & submission proposals for the project team
Monitor and track status of projects
Attend project meetings and take meeting minutes
Job Requirement
Possess a Diploma or equivalent Secretarial qualification
Minimum 2 years of experience in similar capacity
Previous experience in supporting engineering project teams & tender submissions is preferred
Possess excellent interpersonal and communication skills
Good initiative, well organized, meticulous and able to work independently
Proficient in MS Office Tools (Word, Excel, Power Point, Outlook)
Ability to start work immediately or within short notice is highly advantageous
