Role Overview:
We are seeking a proactive and service-oriented individual with experience working with children to support student services, school operations, and administrative functions. Reporting to the Head of HR and Admin, this role provides administrative and operational support across student services, working closely with students, parents, and staff to ensure smooth day-to-day school operations.
Key Responsibilities
A: Student Administration & Front Desk
- Manage front desk operations as the first point of contact for students, parents, and visitors
- Respond to enquiries via phone, email, and walk-ins in a timely manner
- Manage the school email inbox, ensuring timely responses and appropriate routing of enquiries
- Maintain and update student records, including attendance, reports, and transcripts
- Process attendance updates, medical certificates, and generate reports for management
- Assist with administrative processes including student letters and concession card applications
- Support documentation for new joiners and student withdrawals, ensuring records are accurately maintained, properly archived, and accessible via shared drive
B: Operations &Coordination
- Liaise with external vendors (e.g. transport and catering) to support daily school operations
- Coordinate student-related services such as bus arrangements and learning support sessions
- Use school systems such as iSAMS, Open Apply and internal feedback platforms to support daily administrative tasks
- Assist the School Principal in managing calendars, schedules and appointments with parents, teachers, and students.
C: School Programmes & Events
- Provide administrative and logistical support for school programmes (e.g. camps, assessments, trips, learning journeys)
- Assist in organising key school events such as parent-teacher conferences, school photoshoots, and graduations
- Provide administrative and logistical support for school events such as orientations and school fairs, including coordination of communications, materials, and refreshments where required.
D: School Uniforms Management
- Maintain accurate records of school uniform stock and update inventory systems accordingly.
- Monitor stock levels regularly and flag items for reordering when necessary.
- Assist with ordering uniforms and liaising with suppliers to ensure timely restocking.
- Receive, inspect, and verify deliveries to ensure correct items and quantities are received.
- Support the distribution of uniforms and respond to basic queries from parents, students, and staff.
Requirements:
- Degree/Diploma in any discipline.
- Demonstrated track record of providing exceptional customer service.
- Mature, meticulous and possesses a high level of discretion and integrity.
- Experience working with students is a major plus and must enjoy working with children.
- Culturally intelligent to work in an environment with different nationalities and backgrounds.
- Proactive team player with excellent communication and interpersonal skills.
- Possess excellent time management and organisational skills.
- Comfortable working in a fast-paced school environment.
- Able to work Mondays-Fridays from 8am-5pm.
