Job Description

Job Summary

You will collaborate closely with the Sports Education (SE) Unit to plan and administer key sports-related events and activities, ensuring seamless execution and stakeholder engagement. This role supports event coordination, venue management, media collaboration, and administrative functions to drive successful outcomes for the SE Unit's initiatives.

Responsibilities

  • Lead the planning and administration of key SE Unit events, including Council Meetings, Annual General Meeting (AGM), NSG Opening Ceremony, and Colours Award Ceremony, ensuring all logistical and operational arrangements meet organizational standards
  • Coordinate venue bookings for NSG, schools, and approved external organizations to optimize event scheduling and resource utilization
  • Collaborate with SE Unit workstreams and officers-in-charge to administer Council Recognition Awards, Colours Award Nominations, and other recognition programs, ensuring accurate processing and timely communication
  • Partner with media teams to manage NSG live streams and student-athlete interviews, enhancing public engagement and event visibility
  • Provide comprehensive administrative support for SP-CCA, ASEAN Schools Games (ASG), related events, and grant provisions from external stakeholders and partners to facilitate smooth operations
  • Assist in procurement and payment processes, ensuring compliance with financial policies and timely transactions
  • Document and distribute minutes for bi-weekly unit meetings and participate actively in relevant workstream meetings to support decision-making and follow-up actions
  • Execute additional duties as assigned by the Unit's Deputy Director or Senior Assistant Director, demonstrating flexibility and commitment to unit goals
  • Manage multiple tasks independently and collaboratively within stipulated working hours: Mondays to Thursdays 8:30am-6:00pm (with 1-hour lunch break), Fridays 8:30am-5:30pm (with 1-hour lunch break)

Required competencies and certifications

  • Proficient in Microsoft Office applications, with advanced skills in MS Excel to analyze and manage event-related data effectively
  • Ability to work independently and collaboratively within cross-functional teams to deliver event objectives
  • Strong organizational and coordination skills to manage complex event logistics and schedules
  • Effective problem-solving skills to address challenges and ensure smooth event execution

Preferred competencies and qualifications

  • Relevant qualification in Sports Management, Sports Science, or a related field is advantageous for understanding sector-specific requirements
  • At least 1 year of experience in sports event management or equivalent to contribute practical insights and operational expertise
  • Knowledge of AI tools to enhance administrative efficiency and data handling
