Job Description

Summary

We are seeking a highly motivated and detail-oriented professional to join the Ground Services team in a role focused on regulatory compliance, safety oversight, and operational excellence within ground and cargo operations. This position plays a critical role in ensuring adherence to international standards, managing audits, and driving continuous improvement across multiple domains. You will be working closely with internal stakeholders in Ground Operations, Safety, Security, Quality etc as well as external stakeholders such as Airport Authorities, Ground Handlers etc in the course of your daily work.

Job Description

  • Audit, Compliance & Quality Governance
  • Maintain compliance with IATA IOSA, ISM, and regulatory standards across cargo, ground operations, and dangerous goods.
  • Manage IOSA audit activities, address iSARPs, update Gap Analysis databases, track CPIs, and ensure procedures in the CPM are current and compliant.
  • Support quality oversight by coordinating station audits/inspections, tracking audit schedules, updating masterlists, compiling reports, and monitoring audit trends.
  • Act as secretary for monthly audit planning meetings and ensure audit findings are submitted, updated, and closed on time.
  • Procedure Review & Regulatory Approval (Cargo, Mail & Dangerous Goods)
  • Review operational procedures to verify alignment with regulations, company policies, and the latest DGR edition.
  • Identify improvement areas, recommend amendments, and coordinate stakeholder feedback.
  • Liaise with CAAS for procedure approvals and ensure finalised procedures are disseminated and uploaded to Ground portal.
  • Maintain Cargo Procedure Instruction (CPI) valid lists, tracking lists, DG checklists, and monitor updates/instructions from SIA Cargo.
  • Regulatory Applications & Authority Management
  • Apply for, track, and renew dangerous goods transport permits for authorities.
  • Ensure validity of permits and timely submission with complete documentation.
  • Manage audits and inspections by internal, local, and foreign authorities.
  • Coordinate root cause investigations, develop CAPAs, and ensure timely closure with authorities.
  • Cargo Operations Surveillance & Performance Monitoring
  • Coordinate and chair cargo-related meetings including SIA Cargo meetings and Cargo 4Party Meetings; serve as secretary where required.
  • Track and submit monthly cargo, mail, and DG data for regulatory compliance and internal performance monitoring.
  • Analyse cargo performance trends, assist with Operator's Variation reviews, manage addendum dissemination, and maintain cargo contact lists.
  • Ensure stations conduct cargo audits and monitor DG recurrent selfreading compliance.
  • Safety Investigations (Cargo & Dangerous Goods)
  • Update and maintain investigation data in ISMS and internal logs.
  • Work with SSQ to support investigations, conduct RCAs, and assist in CAPA development.
  • Prepare investigation reports, ensure accuracy, and facilitate regulator communication and case closure.
  • Ensure timely submission of initial and final reports to authorities.
  • Hazard Identification & Risk Assessment
  • Identify hazards from safety reports, incidents, audits, and voluntary reporting.
  • Assess risks, determine likelihood and severity, and establish mitigation and recovery controls.
  • Maintain and update hazard registry and ensure risk assessments remain current during operational changes.
  • Ground Safety Promotions
  • Serve as Secretary for SAG meetings.
  • Review meeting materials and issue safety loops, advisories, and eventsharing circulars.
  • Disseminate materials via email and platforms, track acknowledgements.
  • Ensure quarterly safety loops and timely distribution of safety communications.
  • Departmental Support
  • Participate in crisis activation and ensure timely response and coordination.
  • Perform rotating secretariat duties for departmental and services meetings, including preparation of meeting materials.
  • Work with Agile team on Ground portal tile enhancements for IRCC.
  • Undertake any other duties assigned by the reporting manager.

Requirements

  • Preferably 2 to 4 years of relevant working experience.
  • Prior experience in ground operations or a related role is an advantage.
  • Hands-on experience in auditing processes and compliance activities.
  • Strong stakeholder management skills with the ability to engage and collaborate across departments and organizational levels.
  • Willingness and ability to travel as required.
  • Excellent communication skills, both written and verbal.
  • Meticulous with strong attention to detail.
  • Demonstrated analytical and problem-solving capabilities, coupled with strong interpersonal skills.
  • Adaptable, positive, and committed to driving continuous improvement in a fast-paced, dynamic environment.
