Job Summary:
We are seeking a proactive and detail-oriented Project Administrative Assistant to provide comprehensive support to project teams and management. This role involves handling documentation, coordinating project-related activities, maintaining organized records, and ensuring smooth administrative operations both in the office and on project sites. Job Description:
Key Responsibilities:
- Provide administrative support to project teams or executives, both in the office and on-site, as assigned.
- Prepare, transcribe, and distribute project documents such as subcontract agreements, purchase orders, correspondence, and other project-related files.
- Create and maintain electronic and physical project filing systems in accordance with organizational standards.
- Track and update project-related data and documentation as directed by the team.
- Liaise with subcontractors to follow up on required paperwork, including claims, certificates, and delivery orders.
- Assist with project closeout activities, including the compilation of Operation & Maintenance (O&M) manuals.
- Support project managers or executives in preparing key project documents such as cash flow reports, progress claims, project insurance documents, and schedules.
- Order and manage office and project-related supplies.
- Maintain a clean, organized workspace and filing system for personal and shared areas.
- Set up project documentation binders and arrange for printing of project drawings when needed.
- Help compile and distribute punch lists to vendors or subcontractors.
- Archive project records in line with internal or client requirements.
- Participate in meetings and assist with meeting preparation when needed.
- Support managers with scheduling, meetings, interviews, and possible travel arrangements.
- Assist in implementing new administrative procedures as instructed.
- Perform additional duties as assigned.

Requirements:
- Minimum N, O, or A-Level qualification or equivalent.
- At least 1 year of relevant administrative experience.
- Experience in working as M&E admin in construction (main con/ subcon) is an advantage
- Strong attention to detail and ability to work independently.
- Positive attitude with a willingness to learn and take initiative.
