Job Description
Key Responsibilities:
- Manage the day-to-day administrative and logistical operations of the project site.
- Maintain updated records of project staff, workers and subcontractor personnel.
- Coordinate worker attendance, leave, site access cards, mobilization and demobilization records.
- Coordinate project transportation, company vehicles, drivers and staff/worker transport arrangements.
- Manageofficesupplies,drinkingwater,pantrysupplies,cleaningservicesandother site facilities.
- Prepare and maintain petty cash, reimbursement and administrative expense records.
- Raise and follow up PR/PRF for approved administrative and general site requirements.
- Coordinate utilities and recurring services including electricity, water, internet, telephone and office services.
- Assist with visitor arrangements, meetings, project events and management visits.
- Liaise with Head Office HR, Finance, Procurement and Administration departments on project administrative matters.
- Maintain proper administrative records, registers and monthly cost/usage summaries.
- Support the Project Manager and project management team in daily administrative coordination.
- Coordinate with Safety, Construction, Commercial and Document Control teams while maintaining clear responsibility boundaries.
- Perform other reasonable project administrative duties assigned by the Project Manager.
Requirements:
Min Diploma in Business Administrative or other related.
Proven administrative background with strong organizational and multi-tasking skills.
Familiarity with basic accounting / procurement procedures (e.g., handling PR/PO, processing invoices, and managing petty cash).
Proficient in Microsoft Office (Word, Excel, Outlook) experience with ERP or HR management systems (e.g.,Whyze) is a plus.
Excellent interpersonal and communication skills to coordinate effectively between Site Management, HQ departments (HR/Finance), and general workers.
Prior experience in administrative, customer service, or site coordination roles is an advantage, but not essential.
Willingness to work in a fast-paced construction site environment.
Quick learner with good initiative, teamwork spirit, and a detail-oriented mindset.
