Job Summary
We are looking for a detail-oriented Vessel Operation Executive to handle daily vessel operations and operational documentation for chartered vessels. The role supports the chartering/shipping desk by ensuring smooth voyage execution, accurate operational records, and proper handling of laytime, demurrage, and claims in accordance with charter party terms.
Key Responsibilities
- Handle day-to-day vessel operations for chartered vessels (voyage/time charter)
- Coordinate with ship owners, operators, agents, brokers, and internal chartering/trading teams
- Monitor vessel schedules, ETA/ETD, port operations, loading/discharging activities
- Ensure vessel operations are performed in compliance with Charter Party terms
- Prepare, check, and maintain operational documents and records, including SOF, NOR, port logs, and voyage files
- Maintain accurate operation records, reports, and filing systems for each voyage
- Prepare operational reports and provide timely updates to management and chartering team
- Support laytime calculation, demurrage/despatch (DEM/DESP) follow-up
- Assist in handling demurrage claims and operational claims, including document collection and coordination with relevant parties
- Follow up and review PDA/FDA and operational costs related to voyages
- Coordinate bunkering, port services, and vessel requirements as needed
- Identify, report, and follow up on operational issues, delays, or deviations during voyages
- Perform other duties related to vessel operations as assigned
Job Requirements
- Minimum 2 years of experience in vessel operations / chartering operations / shipping operations
- Diploma or Bachelor's degree in Maritime Studies, Shipping, Logistics, or related fields
- Good understanding of Charter Party, vessel operations, and shipping practices
- Familiar with laytime calculation, SOF, demurrage/despatch, and claims handling
- Experience in documentation, reporting, and operational record keeping
- Strong coordination, communication, and organizational skills
- Ability to work independently and handle multiple voyages simultaneously
- Proficient in MS Office
- Good command of English (written and spoken)
