Job Summary
Lead and manage export and import order fulfillment operations, optimize SOPs for efficiency, ensure accurate shipment execution, and oversee relationships with shipping lines, freight forwarders, and warehouses to drive operational excellence.
Responsibilities
- Lead and manage export and import order fulfillment operations as the primary contact to ensure smooth process flow
- Create and conduct periodic reviews of SOPs to enhance operational efficiency through system automation and process improvements, reducing risk areas
- Execute shipments accurately and punctually according to agreed SOPs and KPIs
- Respond timely and accurately to inquiries via telephone and email to maintain effective communication
- Handle all shipping documents such as BL, AWB, DO, Commercial Invoices, and Tax Invoices efficiently and in compliance with requirements
- Develop and maintain guidelines and best practices to minimize compliance risks related to shipments
- Deliver on-the-job training to staff to improve their performance and productivity
- Proactively communicate and negotiate shipping costs with Shipping Lines and Freight Forwarders to optimize expenses
- Manage Warehouse and/or 3rd Party Warehouse Providers to ensure timely clearance, loading, and unloading of containers
- Liaise with relevant parties to resolve shipment discrepancies and manage shipping and insurance claims
- Conduct regular performance meetings with Shipping Lines and Freight Forwarders to ensure service quality
- Manage departmental costs to stay within the agreed budget
Required competencies and certifications
- Bachelor's Degree or Diploma in Supply Chain, Logistics, Shipping, or equivalent related qualification
- Minimum 3-5 years of professional experience in freight forwarding and shipping
- Experience in organizing and leading teams, including recruitment, training, coaching, conflict resolution, and performance management
- Strong knowledge of Export & Import Operations, Customs Process, Permit Declaration, Incoterms, and Shipping Operations
- Proficient in Microsoft Office applications and relevant software
- Strong written and verbal communication skills in English and Chinese
- Willingness to work 5.5 days
Preferred competencies and qualifications
- Experience with Portnet system
