Job Summary
Join Zhenghe Logistics as a Shipping/Logistics Coordinator Assistant to support seamless import/export operations, coordinate shipments, prepare documentation, and liaise with partners to ensure efficient logistics processes.
Responsibilities
- Manage import and export shipment operations by preparing and verifying necessary documentation to ensure compliance and timely processing
- Monitor shipments and confirm receipt of all shipping documents to maintain accurate records
- Liaise with shipping lines and freight forwarders to book containers and verify vessel schedules for smooth cargo movement
- Enter shipment and logistics data accurately into the in-house system to maintain updated records
- Coordinate container trucking with transporters to ensure timely delivery and pickup
- Submit inward lists to barge operators for portnet declarations to comply with port regulations
- Communicate with Indonesian counterparts to resolve container-related issues promptly
- Submit loading confirmation reports to shipping liners and freight forwarders to confirm shipment details
- Submit Verified Gross Mass (VGM) data via shipping liner's online platform to meet safety requirements
- Apply for and process permits using Tradenet and Tradeweb platforms to facilitate customs clearance
- Issue work orders to internal and external contractors to support logistics operations
- Verify billing statements from shipping lines and contractor invoices to ensure accuracy and prevent discrepancies
- Handle all import/export sea and air freight documentation, including invoice preparation, permits, and cargo insurance
- Liaise with clients to manage certificate applications and ensure documentation accuracy
- Arrange transshipment of containers and verify vessel schedules for connecting barges to maintain shipment flow
- Submit Bill of Lading drafts and print original Bills of Lading from shipping liner platforms for shipment authorization
- Apply for various permits and back-to-back Certificates of Origin via Tradeweb to support trade compliance
- Submit full document sets to banks for DIP, D/A, and L/C terms to facilitate payment processing
- Scan and file documents into the in-house server to maintain organized records
- Prepare local delivery documentation and coordinate delivery arrangements with clients and warehouses
- Monitor shipping line nominations for transshipment containers to track cargo movement
- Update import container data in the in-house system to maintain shipment status accuracy
- Coordinate clearance and transportation arrangements for Less than Container Load (LCL) shipments from ports to client warehouses
- Assign transportation jobs and support adhoc logistics tasks as required to ensure operational flexibility

Preferred competencies and qualifications
- Minimum GCE O level qualification preferred
- Proficient in Microsoft Office, especially Excel
- Strong communication skills for phone and email correspondence
- Good IT knowledge to support logistics systems
- Positive attitude with willingness to learn and take initiative
- Ability to work independently and manage tasks proactively
