Job Description

Job Overview

The Import & Documentation Executive is responsible for managing the end-to-end import documentation process, including order processing, permit applications, customs clearance, SFA inspection and coordination of cargo movement. You will be the key point of contact for both internal teams and external partners, ensuring timely and compliant importation and distribution of goods.

Key Responsibilities

  • Handle full set of import documentation including airway bills (AWB), invoices, packing lists,import permits, and customs documents.
  • Perform order processing, permit declaration, payment, and shipping documentation accurately and in a timely manner.
  • Liaise with internal departments and external stakeholders for the storage, transportation, and depot coordination of cargo.
  • Coordinate with relevant parties for the pick-up and shipment of cargo, ensuring smooth and timely delivery.
  • Generate and provide reports such as customer reports, import/export reports, and shipment status updates to Management.
  • Check all shipping documents for accuracy and ensure proper system input and data entry for final billing.
  • Track and follow up on incoming shipments (airfreight/seafreight) to avoid delays.
  • Work closely with authorities (e.g., Customs, MAQIS, DVS) to ensure compliance with all regulatory requirements.
  • Maintain proper filing and record-keeping for audit and traceability purposes.
  • Undertake any ad-hoc tasks assigned by superior or top management.

Requirements

  • At least 2 years of experience in import documentation, logistics coordination, or shipping administration.
  • Strong knowledge ofimport clearance procedures, especially for meat or perishable goods
  • Good command of English.
  • High attention to detail, organized, and capable of working independently under pressure.
  • Proficient in Microsoft Office (especially Excel) knowledge of WMS or ERP systems is a plus.
  • Able to multitask and manage multiple shipments simultaneously.
  • Team player with excellent communication and coordination skills.
