Are you a highly organized professional who thrives in a fast-paced technical environment We are looking for a proactive Service Sales & Admin Coordinator to provide critical administrative and operational support to our Service Department and ensure smooth execution of projects, client engagements, and maintenance activities.
Key Responsibilities:
- Provide comprehensive administrative and sales support to the Service team
- Plan and coordinate client visits, internal meetings, and communications
- Track action items, service activities, and operational projects
- Prepare periodic reports in a timely manner
- Manage travel arrangements including flights, accommodation, visas, and entry permits
- Coordinate local arrangements for technical advisors (transportation, work passes, safety training, site access, etc.)
- Support outage teams with site logistics such as transportation, meals, PPE, and equipment
- Apply for and monitor MOM e-Notifications
- Manage work pass applications, approvals, and documentation
- Coordinate Jurong Island passes, visas, and site permits
- Maintain accurate document control and records of customer, sales, and operational data
- Generate quotations, sales orders, purchase requisitions, payment requests, claims, and invoices via the Intramart system
- Monitor customer payments and supplier payments
- Handle inland transport, domestic deliveries, and customs clearance
- Prepare and coordinate shipping documentation (e.g., bills of lading, shipping marks)
- Liaise with logistics partners, vendors, and customers to ensure timely delivery of materials
- Expedite materials to support planned and unplanned maintenance activities
- Serve as a key point of coordination for customer communications
- Ensure critical information is delivered promptly and accurately
- Support service sales administration initiatives and ad-hoc projects
What We're Looking For:
- Diploma / Degree in a Business Administration / Logistics / Supply Chain or related field
- Minimum 3 years of working experience in a Sales Support role, preferable in an Engineering company or related
- Candidates with experience in utilizing SAP will be an added advantage
- Detail-oriented with strong documentation discipline
- Ability to work under pressure and meet tight deadlines
- Experience in service operations, engineering support, or logistics coordination is an advantage
