Purpose of the Role:
A Proposal Specialist who will be responsible for all administrative aspects of the bid and proposal process.
This position will collaborate closely with Business Development, Procurement dept and other teams to ensure client requirements are met, all necessary information is included prior to proposal submission.
This role will need a strong commitment to achieving quality work on scheduled timelines, by ensuring accurate mark-up pricing strategy and maintain database.
Expectations of the Role:
- Understanding the different drug and ancillary names, as well as the client profiles. Getting to know exactly what client needs, how to match/fulfil their requirements (product availability/pricing/logistics). As well as coordinating request with internal stakeholders (Procurement) and making sure or negotiating with them to provide best options offer.
- Prepare RFI/RFP/RPQ, collaborate with cross-functional teams to gather information and insights for proposal content, analyse client requirements to develop tailored proposals for final submission.
- Ensure compliance with all client and internal guidelines for proposal submissions.
- Review and edit proposal drafts to ensure clarity, coherence, and consistency.
- Track and report on proposal progress and outcomes to senior management.
- Ensure proposals comply with client specifications and adhere to deadlines.
- Manage the proposal submission process, including formatting and presentation.
- Weekly track and analyse all proposals outcomes to improve hit rate and follow with BDs.
- Ensuring the markups and foreign exchange rate applied are justifiable.
- Maintain a repository of past data proposals and related documentation for reference.
- Prepare monthly, quarterly or half yearly summary deck for senior management.
- Coordinate and manage proposal planning, development, and submission, while providing and managing deadlines throughout the proposal process
- Gather quotes and RFP's, support the coordination, development, review, and finalization of proposals and related opportunity capture documents.
- Create and maintain master proposal calenda, schedule proposal meetings and reviews, with internal & external stakeholders, edit, and proofread proposals and other materials to ensure accuracy, clarity, and consistency.
Attributes Required:
Must-Have:
- Diploma/Degree in any business/science discipline
- Minimum 3-5years of relevant experience
- Ideally working with a sales team or general management office.
- Advanced knowledge of the Microsoft Office Suite (expert or near expert level in MS Word styles, formatting, and template development)
