    Role Purpose

    The Corporate Procurement - Procurement Specialist position is a critical role supporting endtoend procurement activities across customer projects and internal corporate functions for Asia (excluding China), Europe, and the USA.

    The role covers Corporate Procurement categories including but not limited to Technology, Marketing, Human Resources, and Professional Services, and extends beyond operational buying to provide daytoday execution support for vendor onboarding, sourcing, contracting, purchase order (PO) processing, contract management and payment issue resolution, while ensuring strict compliance with Univers procurement policies, internal controls, and audit requirements.

    In addition, the role contributes to continuous improvement of procurement governance, systems, and processes, acting as a trusted business partner to internal stakeholders.

    Job Description

    • Independently execute daytoday operational procurement activities, including supplier onboarding and master data, including collecting required documents, submitting vendor creation or update requests, maintaining supplier master records and approved supplier lists, and escalating data gaps, issues, or risks to procurement management where required.
    • Provide endtoend operational procurement support to stakeholders, acting as the focal point for purchase requests and assigned projects by guiding users on standard processes, system steps (e.g. PR/PO submission), and required documentation; ensuring timely and compliant PO issuance, quotation and cost accuracy, and proper approval routing; proactively following up with PO owners to chase goods receipt and support timely GR and invoice processing; and escalating delivery delays, quotation deviations, commercial risks, or policy exceptions in accordance with procurement procedures.
    • Reviewing, evaluating, and negotiating supplier quotations; preparing commercial tabulations; negotiating prices and terms; processing contracts/SOWs/CRs; performing PR/PO checks; coordinating supplier onboarding; monitoring goods delivery; and following up on payments and invoice issues.
    • Provide routine status updates on RFQs, PRs, POs, and contract processing, proactively following up on delays and escalating issues to procurement management where required.
    • Execute RFQ/RFP activities for assigned purchases, including issuing requests, following up with suppliers, collecting quotations, preparing price comparisons and cost breakdowns (e.g. unit pricing, onetime vs recurring costs), and highlighting variances, scope differences, and noncompliant items for review.
    • Support sourcing documentation and contract administration, including recording awarded prices, savings, and cost avoidance; maintaining auditready sourcing records; coordinating contract and SOW approvals and esignatures; tracking signing status; updating contract trackers; and filing fully executed documents in designated repositories in accordance with document management requirements.
    • Actively use and support procurement systems and tools, including vendor creation, PR/PO guidance, nonPO processes, and basic spend or status reporting, and participate in local or global procurement process improvement initiatives.
    • Share procurement knowledge and best practices, and coach internal users on procurement tools, processes, and compliance requirements as part of daytoday operational support.

    Qualifications & Experience

    • Bachelor's degree in engineering, Supply Chain, Finance, Business Management, or a related discipline.
    • Minimum 3-5 years of relevant procurement experience covering operational procurement, sourcing, contract management, and supplier management.
    • Experienced candidates maybe considered for Senior Procurement Specialist position.
    • Solid understanding of procurement process, policy, governance, internal controls, and compliance requirements in Asia and international environments.
    • Experience managing multiple stakeholders across functions and geographies.
    • Proficient in Microsoft Dynamics, DocuSign, and procurement-related digital tools.
    • Strong analytical, communication, and problem-solving skills.
