Job Description

We are seeking a proactive and detail-oriented Senior/Operations Executive to support the smooth day-to-day operations of our Home. Working closely with the Operations Manager, you will coordinate with internal departments and external partners to ensure a safe, efficient, and well-maintained environment for our residents and staff.

Key Responsibilities:

(a)Operations & Coordination

  • Work with the Operations Manager to coordinate operational matters across departments and with external stakeholders.
  • Support daily operational needs of residents and the organisation to ensure seamless service delivery.

(b)Building Maintenance & Facilities Management

  • Plan, implement, and oversee preventive maintenance programmes for all facilities, equipment, and systems.
  • Schedule and monitor maintenance activities to ensure optimal efficiency, safety, and asset lifespan.
  • Track warranties, service schedules, and condition of facilities and equipment.

(c)Vendor & Contract Management

  • Manage external vendors and service providers (e.g. pest control, food suppliers, contractors).
  • Supervise vendor works to ensure compliance with contractual requirements and health & safety regulations.
  • Conduct regular inspections to maintain high standards in maintenance, cleanliness, and food services.
  • Monitor contract expiry and renewals, source quotations, and prepare vendor evaluations.


(d)Safety, Security & Workplace Health

  • Assist in executing workplace safety, fire safety, and WSH plans.
  • Support compliance with relevant safety regulations and organisational policies.

(e)Reporting & Administrative Support

  • Prepare operational statistics, reports, and documentation.
  • Support contract management and generate monthly reports to monitor expenses, performance, and service quality.
  • Contribute to continuous improvement initiatives through data tracking and analysis.

(f)Technology & Continuous Improvement

  • Manage IT-related matters and liaise with HQ.
  • Identify areas for operational improvement and support innovation initiatives.
  • Work with the Operations Manager to resolve operational issues and enhance efficiency.

(g)Other Duties

  • Perform other duties as assigned.
  • Be prepared to support activities or events outside normal working hours when required.

Job Requirements

  • Diploma or Degree in Building Management, Estates Management, Engineering, or equivalent.
  • Minimum 2 years experience in operations or facilities management (healthcare setting preferred).
  • Experience in a healthcare or eldercare environment is an advantage.
  • Proficient in Microsoft Word, Excel, and PowerPoint.
  • Strong interpersonal, communication, and organisational skills.
  • Good command of spoken and written English.
  • Able to work independently and collaboratively in a team.
  • Meticulous, proactive, and solution-oriented.
