Ho & Wee LLP is a boutique law firm. We are looking for a capable and proactive Senior HR & Office Administrator to help us run and grow the firm.
Key Responsibilities
1. Human Resources
. Implement and maintain firm-wide HR policies and procedures
. Oversee staff leave management and scheduling to ensure adequate manpower coverage at all times.
. Oversee the full recruitment lifecycle: drafting job descriptions, placing advertisements, screening CVs, coordinating interviews, and managing candidate communications.
. Manage work pass applications, renewals, and cancellations in compliance with MOM regulations.
. Handle employees benefits administration including medical insurance and leave entitlements.
. Maintain accurate and confidential employee records manage staff confirmation, resignation, and offboarding processes.
. Introduce and enforce structure and discipline across the firm to support a well-run, professional working environment.
2. Office Management
. Oversee day-to-day office operations and ensure the office runs smoothly and efficiently.
. Manage and negotiate with third-party vendors and service providers, including IT, insurance agents, and facilities management.
. Manage procurement of office supplies
. Maintain lawyers practising certificates and professional indemnity insurance renewals.
. Handle ad hoc administrative matters as they arise, with a problem-solving mindset.
. Support the firm's business development efforts by identifying opportunities to grow the firm's profile and client base.
What We're Looking For
. Minimum Diploma qualification in a related field.
. At least 5-7 years of relevant experience, ideally in a professional services environment (law firm, accounting firm, or similar). Experience in a legal setting is a strong advantage.
. Proven ability to take ownership and work independently with minimal supervision
. Strong HR knowledge including familiarity with MOM regulations, Employment Act, and labour laws in Singapore.
. Experience in recruitment
. Strong interpersonal and stakeholder management skills- able to liaise credibly with lawyers, partners, external vendors, and potential candidates.
. Proficient in Microsoft Office (Word, Excel, PowerPoint) familiarity with legal practice management software is an advantage.
. Highly organised, meticulous, and able to manage multiple priorities in a fast-paced environment.
