About the Role

We are seeking a proactive and detail-oriented Senior Facilities Management Executive to oversee the operational readiness, maintenance, and compliance of our student accommodation premises. This role is critical in ensuring all units are fully prepared for student occupancy, maintained to high standards, and efficiently managed throughout their lifecycle-from takeover to handover.

Key Responsibilities

Premises Takeover & Handover

  • Conduct thorough inspections of leased premises before tenancy commencement.
  • Document and photograph defects, damages, and conditions obtain landlord sign-off.
  • Coordinate rectification of issues and maintain defect repair registers.
  • Prepare premises for return to landlords, including inspections, reporting, and repair coordination.

Room Setup & Space Planning

  • Plan layouts and allocate room space effectively for student living.
  • Identify staging requirements and coordinate procurement.
  • Oversee staging setup and provide photos for Sales & Marketing use.

Renovation & Contractor Management

  • Source contractors and obtain at least three quotations for approval.
  • Apply for relevant permits (e.g., renovation, moving, disposal).
  • Oversee renovation works and ensure compliance with building requirements.

Systems Installation & Inspection

  • Supervise installation of Wi-Fi, CCTV, and other facilities essential for student residences.
  • Inspect and confirm proper functioning of installed systems.

Pre-Check-In & Off-Boarding Inspections

  • Inspect rooms before student check-in and after check-out.
  • Record and photograph conditions, damages, and inventory status.
  • Arrange repairs and prepare units for new student residents.
  • Provide repair cost estimates for deposit settlements.

Maintenance & Preventive Care

  • Monitor maintenance requests from systems and student feedback channels.
  • Arrange repairs and determine responsibility (wear-and-tear vs. student-caused).
  • Conduct regular inspections and coordinate servicing such as air-conditioning maintenance.

Inventory & Asset Management

  • Maintain records of tools, spare parts, bedding, furniture, small assets, and miscellaneous stock used across student accommodation units.
  • Track purchases, usage, and disposals.

Requirements

  • Diploma or Degree in Facilities Management, Engineering, Building Management, or related field.
  • Proven experience in facilities, property, or building management
  • Strong knowledge of maintenance processes, contractor coordination, and inspection procedures.
  • Excellent documentation, reporting, and organizational skills.
  • Ability to manage multiple sites, vendors, and priorities efficiently.
  • Detail-oriented with strong problem-solving skills.

Preferred Attributes

  • Experience managing residential or student housing facilities.
  • Familiarity with permit applications and building compliance processes.
  • Strong communication skills for liaising with landlords, contractors, finance teams, and student residents.
