RESPONSIBILITIES

  • This position is for SMU Academy (SMUA).
  • Trainer Screening and onboarding:
    • Vet/Screen trainer onboarding documents.
    • Manage trainer supporting documents for the purpose of knowledge management. (Curriculum Vitae, Professional Certificates).
    • Issue appointment letters.
    • Create/update training and enablement materials to be used to onboard our new/existing trainers to improve CET trainer teaching quality.
    • Conduct training visits to collate information on training delivery.
    • Review trainer and course feedback data for stakeholders.
  • Training Partner Quality Assessment related:
    • Support the successful execution of the SSG TPQA process by coordinating with stakeholders to collate quality data and managing accurate submissions via TPGateway. You will maintain full compliance with SSG regulatory requirements while actively assisting in the implementation of quality improvement initiatives across all programs.
  • Course Application Related Processes on government digital platforms (TPGateway):
    • Collate and screen new course application data from our training teams as they create new programmes CET Learners.
    • Create course application drafts and facilitation of governance/approval/audit processes.
    • Payment and Submission of applications and monitoring of application status.
    • Facilitate edits made to course applications.
    • Facilitate the retirement of programmes that are obsolete.
    • Facilitate communication with SkillsFuture Singapore (SSG) to ensure that application processes are efficient, that queries are answered promptly to facilitate quick turn-around.
    • Maintain the SMU Academy master list of programmes for internal processes which would impact finance, reporting and audit processes.
    • Accuracy: Ensure a high accuracy rate for all TPGateway course submissions and trainer documentation to avoid audit findings.
    • Turnaround Time: Facilitate prompt responses to SSG queries to ensure quick turnaround for program approvals.
  • Collate and analyse of training data and generation of reports for the purposes of audits and management decision making:
    • Data Integrity Management: Conduct regular data cleansing and validation of training records to ensure accuracy for internal master lists and external audit submissions.
    • TPQA Evidence Collation: Gather and organise specific evidence artifacts required for SkillsFuture Singapore (SSG) TPQA audits, ensuring all documentation aligns with regulatory standards.
    • Trend Analysis: Analyse CET training data to identify patterns in trainer quality and course effectiveness, providing early warnings for areas requiring quality intervention.
    • Audit Readiness: Prepare comprehensive data sets and reports for government grantors (SSG, MOE, WSG) to support mandatory audit cycles and grant management requirements.
    • Management Reporting: Translate raw training statistics into concise reports and visual summaries to assist management in making informed decisions regarding program extensions or faculty renewals.
    • Process Efficiency Tracking: Monitor and report on the turn-around time for course applications and trainer onboarding to identify bottlenecks in the current workflow.
  • Other duties as assigned.
QUALIFICATIONS
  • Diploma with at least 3 years of relevant experience.
  • Keen attention to detail.
  • Ability to identify areas for improvement in processes and systems and to develop and implement strategies for continuous improvement.
  • Proactive problem-solving.
  • Strong collaboration and communication skills for effective teamwork and stakeholder engagement (Change Management Skillsets).
  • Possess data analytics fundamentals.
