Job Description

Our client is a well established shipping brand. In view of expansion, they are currently seeking a suitably qualified candidate to join them as Senior Executive (HR & Administration).

In this role, you will be responsible for the following :

  • Recruitment
    • Handling manpower requests for Singapore Office for new or replacement positions.
    • Maintaining a proper CV database Recruitment tracker and consultants agreements.
  • Employee Onboarding:
    • Employee onboarding process
    • Employment contract issuance etc
  • Leave & Attendance:
    • Attendance system monitoring & leave management for Singapore offices
    • Coordinating with HR in HQ to close monthly attendance for Singapore offices within the deadline assigned
    • Leave tracking, ensuring leave applications are in line with attendance
    • Year end annual leave reconciliation
  • Travel Desk:
    • Arranging all VISA, hotel & travel requirement for employees in terms of approved business trip
    • Managing and clearing monthly invoices of travel & hotel bookings done related to business trips
    • Arranging and issuing all travel related documents including NOC, VISA applications, Hotel bookings etc for visa purpose.
  • Payroll Support:
    • Payroll ledgers, attendance data (unpaid leave, in camp training leaves) etc for monthly payroll
    • Verification of reports and files for payroll entries for overseas payroll
    • Updating HQ HR on any statutory or regulatory changes affecting payrolls or payments
  • Performance Appraisal:
    • Ensuring KPIs for all employees are up to date in system by coordinating with HQ
    • Support system changes update for
  • Training:
    • Support, co-ordination and arrangement of training requirements as required.
  • Office Administration :
    • Renewal, follow up and maintaining all lines of Insurance (Medical, General etc)
    • Arrange adhoc activities such as 7th month prayer, annual dinner, coordinationg events etc
    • Manage miscellaneous supplies, including pantry items, stationery, drinking water, printer supplies and any other office supplies
    • Manage and maintain courier bookings, support and clearances
    • Send public holiday notices to all offices
    • Respond to IT related queries from employees, escalate complet issues to the IT support team in HQ as required, and track resolution progress to ensure minimal disruption to daily operations
    • Coordinating with vendors for any office related maintenance etc
    • Timely submission and clearance of all admin related invoices

Requirements:

  • Diploma/Bachelors Degree in related field.
  • Minimum 4 to 5 years in similar role.
  • Good working knowledge of MS Office.
  • Excellent interpersonal and communication skills.
  • Well organised and professional
