About the Role
We are seeking a proactive and detail-oriented professional to support the smooth operations of a multi-site healthcare environment. You will part of the Facilities team to support procurement and contract administration activities to ensure the smooth delivery of infrastructure, facilities, and operational support services.

Key Responsibilities
- Partner with Facilities and Project teams to support sourcing requirements, procurement activities, and contract administration for operational and development-related works.
- Assist in the end-to-end procurement process, including preparation of procurement documents, quotation exercises, tender coordination, and cost analysis.
- Support procurement activities through Invitation to Quote (ITQ) and Request for Proposal (RFP) processes in accordance with procurement guidelines and policies.
- Source, evaluate, and recommend suitable vendors and contractors based on operational and project requirements.
- Assist in reviewing vendor submissions, coordinating contract negotiations, and maintaining proper contract documentation and records.
- Ensure procurement and contract administration activities are carried out in compliance with internal governance and procurement procedures.
- Monitor vendors performance and Key Performance Indicator (KPI) reporting to support operational effectiveness and continuous improvement initiatives.
- Prepare reports, track procurement and contract-related data, and provide administrative support for operational planning and decision-making.
- Support departmental planning activities, including workplan coordination, budgeting, manpower tracking, and process improvement initiatives.
- Contribute to innovation projects and operational enhancement efforts.
- Perform any other duties assigned by the Reporting Officer.
Requirements
- Min. Degree in Business, Supply Chain, Facilities Management, Building Services, Engineering, or a related discipline.
- Prior experience in procurement, contract administration, vendor management, or facilities-related operations will be preferred.
- Familiarity with quotation/tender processes such as ITQ, RFQ, or RFP exercises will be advantageous.
- Good coordination, communication, and stakeholder management skills, with the ability to manage multiple timelines and priorities.
- Proficient in Microsoft Office applications, with strong administrative, reporting, and documentation skills.
