Location: Central
Employment Type: 1-Year Contract (Renewable / Permanent)
Salary: Up to SGD 3,900 basic + 1-month bonus
Working Hours: Monday to Friday, 9:00am - 6:00pm
(Willingness to work evenings and Saturdays during examination periods is required)
The Senior Executive / Executive (Examination Unit) is responsible for managing the end-to-end assessment and examination administration for the Programmes. This role ensures the smooth execution of examinations across multiple formats, including main, re-, deferred, supplementary exams, quizzes, class tests, and mid-term assessments, while maintaining compliance with university and regulatory requirements.
Examination Operations Management
Manage confidential student and examination data within Student Management and Learning Management Systems.
Coordinate assessment activities across face-to-face and online examination settings.
Liaise with university partners, overseas colleges, vendors, invigilators, and internal stakeholders on all examination matters.
(Quizzes, Class Tests, Mid-Term Tests, and Examinations)
Coordinate with Lecturers and Module Leaders on pre-moderation of examination question papers.
Conduct resource planning, including:
Booking examination venues
Scheduling and deployment of invigilators
Prepare and update examination schedules accurately.
Prepare examination materials for on-campus and online assessments.
Brief invigilators to ensure understanding of examination procedures and protocols.
Manage and oversee on-campus and online examinations, quizzes, and class tests.
Ensure examinations are conducted smoothly and in compliance with established procedures.
Work closely with invigilators to uphold academic integrity.
Handle academic misconduct cases and resolve operational issues on examination days.
Monitor marking timelines and ensure adherence by markers.
Coordinate post-moderation activities with academic faculty.
Update students examination results and graduating status in preparation for:
Examination Board meetings
Awards Board approval
Student Management System updates
Liaise with University Partners on pre- and post-moderation requirements.
Prepare documentation and administrative materials for Examination and Awards Board meetings.
Attend programme briefings and plan examination operations for newly launched programmes.
Work with internal and external stakeholders to define assessment workflows and timelines.
Draft and document examination and assessment processes for new programmes.
Work closely with School Operations and Academic teams on examination matters.
Coordinate with outsourced partners to monitor and track examination processes.
Manage assignment and deployment of invigilators for online and onsite examinations.
Process examination-related procurement and finance matters in accordance with timelines and policies.
Perform other examination-related administrative duties as assigned.
Qualifications & Experience
Bachelor's degree in any discipline.
5 years of experience in examination administration or a similar academic operations role.
Skills & Competencies
Strong organisational and multitasking abilities.
Excellent communication and interpersonal skills for stakeholder coordination.
High level of attention to detail and accuracy in record-keeping.
Ability to prioritise workload and meet tight timelines.
Able to work under pressure, especially during peak examination periods.
Willingness to work 1-2 hours beyond official working hours, including weekday evenings and Saturdays when examinations are scheduled.
