Established in 2009, the NTU Chinese Medicine Clinic serves as a TCM Board approved teaching clinic for the programmes in Biomedical Sciences and Chinese Medicine at the School of Biological Sciences, College of Science. We offer a range of services including acupuncture, cupping, tuina treatment massage for adults, and paediatric tuina, along with herbal medication.
We are seeking a dynamic and service-oriented Senior Executive / Assistant Manager, Business Operations Management to support the clinic's operational excellence and patient service delivery.
Job Description
Perform front desk duties that include providing excellent and friendly frontline customer service to patients, attending to calls on queries, patient appointments, complaints etc, and processing invoice and handling payment collection.
Manage complaints and this includes identifying the cause of complaint, recommending corrective actions, and preparing replies to complainant.
Perform dispensary work and ensure that medicines being dispensed are correct, and their dosage, quantity, and frequency match against physician's prescription, and labels are printed correctly.
Ensure that the clinic is in compliance with all legal and regulatory requirements related to healthcare including patient privacy and data protection.
Provide administrative duties that include managing clinic emails, ensuring clinic consumables are topped-up, and clinic equipment are in order, performing inventory management with team members, coordinating Clinic Management System performance and coordinating bugs resolution, supporting Business Continuity Program, and developing and updating SOPs.
Requirements
Bachelor's degree or diploma in Healthcare Administration, Business Administration, or a related field from a recognized institution.
A qualification in Traditional Chinese Medicine will be an advantage.
Relevant experience in front desk operations, dispensary/pharmacy, or clinic administration (preferably in a TCM setting).
Familiarity with TCM diagnostic methods, acupuncture, herbal medicine, and related therapies.
Good understanding of PDPA and the Healthier SG program.
Strong organisational and multitasking abilities.
Excellent interpersonal and communication skills.
Service-oriented with the ability to work effectively with patients, practitioners, and colleagues.
