Job Description

Overseas Immersion Programmes:

  • Collate budget for each overseas course in consultation with instructors.
  • Support procurement and finance administration to process payments for vendors and suppliers.
  • Provide administrative (including course registration) and logistical support for the overseas component of the undergraduate courses.
  • Manage faculty and student travel arrangements including flight bookings, accommodation, land arrangements and other logistical arrangements required for the courses in consultation with instructors.
  • Manage vendor and contract management.
  • Conduct pre-departure briefings, ensuring compliance and implementation of crisis management protocols for student travel.
  • Overseas travel may be required to support instructors in the management of students and logistics.
  • Track programme budget and expenditure.
  • Gather feedback from instructors and students on the immersion course.
  • Consolidate data and feedback for management reporting.
  • Liaise with Communications team to feature students course experience and post-course deliverables.

Engagement of part-time instructors:

  • Coordinate the recruitment of part-time instructors.
  • Serve as the main point of contact for administrative and operational matters related to part-time teaching.
  • Coordinate with HR admin on part-time instructors hiring, recruitment and documentation.
  • Manage teaching assignment for part-time instructors and support their teaching needs.
  • Facilitate communication between Associate Chair/Assistant Chair and part-time instructors to ensure alignment on academic standards and course delivery.

Internship and Experiential Learning Coordination:

  • Oversee the coordination of student internship programme with Career Attachment Office and NTU Entrepreneurship Academy on Overseas Entrepreneurship Programmes.
  • Support Assistant Chair (Undergraduate) with approving of internship applications from students and assignment of internship supervisors.
  • Support students and internship supervisors during internship period and resolution of issues encountered.
  • Manage feedback collection for continuous improvement.

Industry Engagement and Partnerships:

  • Support the development and maintenance of strategic partnerships with industry organisations to enhance academic and experiential learning opportunities.
  • Coordinate industry networking sessions, workshops, guest lectures, and professional sharing events.
  • Assist in identifying new collaboration opportunities for internships, student projects, and applied research.
  • Maintain updated records of industry contacts, partnership activities, and outcomes.

Events and stakeholder engagement:

  • Coordinate academic-industry events such as industry speaker series or employer visits.
  • Provide logistical and administrative support for key programme events for example pre-admission outreach activities, academic orientation, information session, convocation, workshops, seminars and professional development sessions.
  • Assist with sourcing of corporate gifts, packing of event kits and collaterals and on-site logistics support.

Ad-hoc support:

  • Support in organising department meetings, including coordinating logistics and handling meeting arrangements.
  • Perform other ad-hoc duties and assignments as assigned by the supervisor or department.

The key requirements include:

  • Bachelor's degree with a minimum of 3-5 years of relevant work experience, within an institution of higher learning or operations in a university/educational setting would be an advantage.
  • Prior experience in administration of student mobility, global learning programmes and industry partnerships.
  • Good communication and writing skills with ability to communicate and interact well with diverse stakeholders.
  • Good logistics/work process skills.
  • Good problem-solving and negotiation skills.
  • Strong organisational and time-management skills, able to plan and prioritise work which may have competing deadlines.
  • Ability to handle confidential information.
  • Proficiency in Microsoft Office suite applications.
  • Strong customer service focus with a passion for supporting faculty and students.
  • Tactful and able to demonstrate empathy whenever necessary.
  • Self-motivated team player who can work independently with minimal supervision, and collaboratively with colleagues in a team-oriented environment.
  • Good sense of initiative and responsibility with a positive work attitude.
  • Meticulous, organised with a strong willingness to learn.

Location: West (Nanyang Avenue)
Salary: Monthly Rated
Working Hours: Mondays to Thursdays: 8.30am to 5.45pm, Fridays: 8.30am to 5.15pm
Duration: 6 months (Renewal of another 6 months possibility)
