Job Description

Established in 1992, the Wee Kim Wee School of Communication and Information (WKWSCI) is the only full-fledged communication school in Singapore and is a world-class centre of excellence with an international faculty, state-of-the-art research laboratories, and global institutional affiliations.

We are seeking a highly organised and detail-oriented Senior Executive to join our graduate programme team. The successful candidate will be responsible for supporting the administration of overseas immersion programmes, exchange programmes with partner universities, building partnerships with the industry, as well as providing administrative, financial and logistical support for graduate programmes. This role is critical to ensure that operations and services are delivered to meet the needs of the programmes and their stakeholders.

Key responsibilities include (but not limited to):

1. Overseas Immersion Programmes

  • Collate budget for each overseas course in consultation with instructors

  • Support procurement and finance administration to process payments for vendors and suppliers.

  • Provide administrative and logistical support for the overseas component of the graduate courses

  • Manage faculty and student travel arrangements, including flight bookings, accommodation and land arrangements in consultation with instructors.

  • Manage vendor and contract management.

  • Conduct pre-departure briefings, ensuring compliance and implementation of crisis management protocols for student travels.

  • Track programme budget and expenditure.

  • Gather feedback from instructors and students on the immersion course

  • Consolidate data and feedback for management reporting

  • Liaise with Communications team to feature students course experience and post-course deliverables.

  • Overseas travel may be required to support instructors in the management of students and logistics.

2. Exchange programmes with Partner Universities

  • Manage administration and operations ensuring seamless coordination of inbound and outbound student mobility with partner institutions.

  • Maintain programme documentation during planning, implementation, and post-programme review phases.

  • Liaise with stakeholdres including students, faculty and representatives of partner institutions to support the exchange programme.

  • Support the exchange programme marketing and student engagement efforts.

  • Conduct pre-departure briefings, ensure compliance and implementation of crisis management protocols for student travels.

  • Maintain accurate records related to student mobility data, partnerships and outcomes for data management and reporting purposes.

  • Manage the administration of credit transfer

3. Industry Engagement

  • Co-develop meaningful events and initiatives with industry collaborators

  • Support key industry events and outreach efforts, ensuring strong participation and relevant programming

4. Student Conference Support

  • Process student conference requests and ensure students do not exceed their conference support budget

  • Track and update students conference funding

5. Events

  • Coordinate all events/programmes administration and logistics, including food catering and liaison with external parties to ensure the successful execution of each event.

  • Support the execution of key programme events, for example, pre-admission activities, matriculation, academic orientation, information sessions, convocation, and postgraduate education fairs.

  • Organise and manage key student activities, for example, networking sessions, alumni seminars, graduation celebrations, and College events.

  • Provide support for activities including but not limited to sourcing for corporate gifts, packing event kits, securing activity venues, securing quotations and proposals and any otherevent-related matters.

Requirements include:

  • Good communication and writing skills with ability to communicate and interact well with diverse stakeholders

  • Good problem-solving and negotiation skills

  • Strong organisational and time-management skills, able to plan and prioritise work, which may have competing deadlines

  • Ability to handle confidential information

  • Strong customer service focus with a passion for supporting faculty and students

  • Tactful and able to demonstrate empathy whenever necessary

  • Self-motivated team player who can work independently with minimal supervision, and collaboratively with colleagues in a team-oriented environment

  • Good sense of initiative and responsibility with a positive work attitude. Meticulous, organised with a strong willingness to learn

  • Proficiency in Microsoft Office suite applications
