  • Admissions & Enquiry Management:
    • Handle general enquiries via email or other communication channels and direct more complex queries to relevant officers or departments.
    • Support the scheduling, coordination, and administration of selection activities (e.g., assessments, interviews, written tasks).
    • Handle the offer process such as preparing offer letters and enquiries from candidates.
  • Event Coordination & Logistics:
    • Plan, coordinate, and execute programmes and events such as open houses, information sessions, orientations, workshops, student/alumni activities, and campus visits.
    • Manage logistics, venue preparation, catering, registration, and event publicity.
    • Procure goods and services for events and office use in accordance with procurement procedures.
    • Support marketing and outreach activities, including assisting with photo/video shoots, testimonials, and collaborations with internal or external partners.
  • Programme & Administrative Support:
    • Prepare paperwork, documentation, and payment processing related to staffing or programme needs (e.g., teaching/research assistants, adjunct lecturers).
    • Administer end-of-term course feedback collection and evaluation report generation.
    • Prepare official letters or certification documents for students upon request.
    • Follow up with students on finance matters or other university's requirements.
    • Support course offering planning and registration process.
    • Perform any other duties as assigned to support programme operations.
  • Data Management & Recordkeeping:
    • Maintain accurate and updated databases of students, alumni, and prospective applicants.
    • Retrieve and compile data for basic reporting and analysis.
    • Prepare, manage, and submit spreadsheets, records, and documentation for finance or other departments as required.
  • Any other duties as assigned.

Qualifications

  • Polytechnic diploma holder with at least 2 years of admin work experience, preferably in the education sector, or bachelor's degree holder.
  • Strong administrative, organisation and coordination skills.
  • Meticulous and able to manage multiple tasks and deadlines.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint) and survey tools (Google Forms, Microsoft Forms).
  • Good interpersonal and communication skills.
  • Experience working with postgraduate students or within the higher education sector is preferred.
