The International Engagement Department (IED) builds strategic relationships with global IP stakeholders - including governments, institutions, and enterprises - to position Singapore as a vibrant hub for IP protection and commercialisation. We promote IPOS's programmes, support national IP priorities, and lead bilateral and multilateral efforts to expand Singapore's global IP footprint, deepen regional collaboration, and shape international IP policy and practice. We are looking for an individual who is keen to contribute, to join our team.

Responsibilities

Reporting to the Desk Head, you will be supporting the department to

  • Coordinate various aspects of event planning and execution, including pre-event activities such as procurement, stakeholder coordination and setup, to post-event tasks like summarising event outcomes and feedback.
  • Support overseas trips logistics such as booking of flights, accommodations, transport and other arrangements to post-events tasks such as handling reimbursements and billing.
  • Collaborate with team members, business units and various stakeholders for a smooth delivery of events and activities. These include facilitating regular meetings and addressing stakeholder needs and concerns throughout the process.
  • Assist with vendor coordination and general administrative tasks, including invoicing and billing, note taking, filing and document management.
  • Track and maintain deliverables related to events, cooperation agreements and partner programmes.
  • Perform other ad-hoc duties as assigned.

  • Detail-oriented, diligent, self-motivated and able to multi-task and able to manage multiple tasks independently
  • Have strong written communication skills
  • Work well in a team and enjoy dynamic, fast-paced environments
  • Have experience coordinating multiple events concurrently
  • Can build strong working relationships and collaborate effectively
  • Are familiar with government procurement practices and systems, including Workday. This is not a pre-requisite but will be viewed favourably.
