We are seeking a highly organized and proactive HR Generalist to ensure smooth day-to-day HR and office operations in our Regional HQ.
HR Operations & Administration
- Prepare HR letters (employment verification, promotion, confirmation, etc.) in a timely and confidential manner.
- Support HR-related employee requests and assist in HR projects or initiatives as assigned.
- Create and maintain SOPs for HR admin workflows (Employee handbook, mobility, COI, travel, Intranet etc.)
- Assist in coordinating/curating new hire gatherings, buddy appreciation gatherings, and team-building activities.
- Prepare employee personnel files and maintain data for internal or external HR audits (e.g QEM).
- Monitor HR data (e.g. Budget tracking, Training data).
- Government paid leave tracking and claim submissions (maternity leave, childcare leave, etc.)
- Insurance enrolment/termination for new hires/leavers.
- PSA pass new application/renewal.
- Facilitate Conflict of Interest (COI) declarations across the region in collaboration with Compliance department.
Employment Pass & Mobility
- Fully accountable for MOM work pass application related work (e.g. EP/DP/SP/TEP applications and any other associated applications like RMI etc.)
- Support international transfers and mobility processes for short term assignments as well as help cover long term assignment mobility processes when necessary (documentation, relocation support, onboarding, accommodation reservation etc.).
Learning & Development Administration
- Support the administration of in-house training programmes and Skills Development Fund (SDF) claims.
- Maintain learning records and assist with training coordination and logistics.
People Support & Office Administration
- Support internal communication drafts for HR initiatives (e.g. emailers for new policies, HR campaigns).
- Support and coordinate Regional HQ townhalls and engagement events.
- Assist to coordinate flight arrangements for Regional HQ staff.
- Act as covering officer for People Support duties when needed. (e.g. front desk/visitor management).
- Support Business Continuity Management plans (e.g. employee contact lists, emergency response folders).

Qualifications- Diploma or Bachelor's degree in Human Resources, Business Administration, or a related discipline.
- Minimum 3 years experience in HR administration or operations, preferably in a regional or multinational setting.
- Familiarity with Singapore employment laws and work pass application processes.
- Proficient in Microsoft Office Suite (Advanced Excel skills required) and HR systems. Preferred Skills.
- Experience with Oracle HR or other HRIS systems.
- Experience with travel coordination using SAP Concur Travel.
- Exposure to international mobility or regional HR coordination or learning administration processes.
- Understanding of training administration and SDF claim processes.
