Job Description
Job Responsibilities
Planning of Course Enrolment
. Plan course enrolment schedule of activities for each academic term (including Special Terms).
. Plan students course registration dates, balancing requirements by the different Schools, students study year and academic status, and system performance.
. Ensure timely execution of the plan and prepare action plan for any deviations or exceptions.
. Ensure system readiness, anticipate and prevent potential hurdles and resolve them in a timely manner.
. Oversee Schools course capacity planning, analyze the submissions, flag any potential issue and make necessary recommendations to Schools.
. Carry out course capacity planning and make necessary recommendations.
Freshmen Courses Allocation
. Work with Schools to plan registration accounts for new students, based on projected intake figures.
. Allocate courses to new students taking into consideration requirements by different Schools.
. Manage and supervise system tests and checks prior to new students matriculation to ensure that all new students will be able to be allocated a class timetable upon online matriculation.
Course Enrolment Management
. Coordinate with Schools and team in pre-registration activities for smooth conduct of course registration.
. Provide guidance and advice to Schools.
. Manage the overall course registration conduct, including handling appeals, and staff and students enquiries.
. Manage students elective allocation and Add/Drop period allocation process to ensure integrity of the process and fairness among students.
. Manage course allocation for exchange student to ensure fairness and equity.
. Coordinate and manage with the team to ensure registration records are correct and in line with students curriculum requirements post-registration.
. Draft appeals for any exceptions to the course enrolment policy or procedure, for approval by the Vice Provost (Undergraduate Education) or Registrar.
Review of Course Enrolment Processes and Maintain Documentation of Processes
. Review of course registration processes and systems for areas for simplification and enhancement.
. Resolves system issues and manage the change requests to existing systems.
. Coordinate and manage with respective parties (Teams, School, CITS, etc.) for target implementation and monitor implementation progress and timeline.
. Maintain the documentation of course enrolment process.
. Work with the Team Leads or web content owners to update the website content
Operational Improvement & System Enhancement
. Support the system development of new Student Management System as assigned by reporting officer, such as review of business specifications, preparation of user stories and test case scenarios, system testing, coordination of cross-team/department requirements and testings, and stakeholder consultation/validation.
. Explore and implement new technologies for automation, e.g. RPA, AI, and data visualisation, for operational efficiency and better student experience.
. Coordinate with Colleges/Schools/Offices and internal teams to implement process enhancements and system improvements.
. Any assigned duties to support Team Lead in OAS and/or University level projects
Job Requirements
. Bachelor's degree from a recognised university.
. At least 5 years of relevant experience, preferably in academic administration or student services within the tertiary education sector.
. Experience coordinating complex operational processes involving multiple stakeholders.
. Strong analytical, organisational, and problem-solving skills.
. Familiarity with student information systems or course registration platforms.
. Knowledge of data querying, data visualisation, and automation tools would be advantageous.
. Strong interpersonal and communication skills with the ability to engage stakeholders professionally.
. Ability to work collaboratively across departments and Schools.
. Strong attention to details and ability to manage multiple priorities in a fast-paced environment.

Salary: $4800 - $5650/Month
