We are seeking a dynamic professional to join the Faculty Affairs (aka Academic HR) team for CCDS. The incumbent will be involved in faculty recruitment, appointments, promotions, and tenure processes, while working with the Head, Faculty Affairs to drive initiatives to foster a collaborative, inclusive, and high-performing faculty culture. The incumbent will also manage faculty-related operational matters, including space and infrastructure allocation, onboarding programs, and engagement initiatives, ensuring alignment with university policies and institutional priorities.

Job Responsibilities

  • To support Head of Faculty Affairs in managing and supervising a team of2MSOs to run the daily operations of theFaculty'sOffice.

  • To provide coaching and training to the team members.

  • To motivate and resolve issues within the office (where applicable).

  • AssistHead (Faculty Affairs)to strategize,plan and executeeffective programsto recruit,retain and develop facultytalent in the College.

  • AssistHead (Faculty Affairs)to strategize,plan and executefaculty-relatedpublicity and communicationstoincrease College's reputation andprominence at bothlocal and international levels.

  • Provide administrative support to the School Review Committee for Promotions & Tenure committee (SRCPT)& SchoolReappointmentCommittee (SREC),as required, including, but not limited to, arranging meetings, preparing agendas and meeting papers, taking minutes, compiling faculty dossiers and following up on action points.

  • Provide administrative support to the School Search Committee (SSC), as required, including but not limited to, overseeing the arrangements of all activities related to the candidate's on-campus visits, maintaining links with shortlisted candidates and assisting in preparing relevant reports required in the hiring process.

  • Manage, solicit and compile list of prominent academics and researchers who can be tapped on for credible external referee's report during hiring and promotion exercises.

  • Compile, analyse, and verify data for preparation of reports required for the effective assessment of faculty or candidates for the respective search/appointment/reappointment/promotion/appraisal committees in an accurate and timely manner.

  • Work closely with College's Human Resource Business Partners to track and reconcile faculty headcounts in the school amid faculty hiring and attrition.

  • Work closely with faculty members to ensure that their materials are submitted on time.

  • Work closely with Senior Deputy Dean's office on nomination and write-ups for various awards.

  • Work on the MOE START scheme with HRBPon the budget, schedule.

  • Request for vouchers and hotel bookings forcampus visits.

  • Update and maintain database of relevant faculty information. Be able to generate management reports for budget review and presentation slides on faculty matters for communication.

  • SupportAssociate Dean (Faculty) and Deanin the administration and management of the University's Promotion & Tenure (PT) exercises which are held twice a year.

  • Provide administrative support to Associate Dean (Faculty) as and when needed.

  • Providesupport to your team members as and when needed.

Job Requirements

  • Recognized university degree or its equivalent with at least 5 years experience inFaculty Affairs mattersin a tertiary education institution.

  • Equipped with strong analytical skills with the ability to solve complex issues and handle stress.

  • Possess excellent interpersonal and communication skills.

  • High levelof commitment and initiative.

  • Equipped withhigh levelof coordination and time planning.
