Responsibilities

  • Deliver comprehensive secretarial and administrative support to the Directors, ensuring professionalism and confidentiality in all communications and documentation
  • Organize and coordinate meetings, including scheduling, preparing agendas, and accurately recording meeting minutes to facilitate effective decision-making
  • Collaborate with internal teams and external stakeholders to execute administrative tasks efficiently and support business operations
  • Manage and optimize the Directors calendars, prioritizing appointments and deadlines to maximize time management and productivity
  • Arrange and coordinate travel logistics for Directors and team members, ensuring seamless itineraries and positive travel experiences
  • Maintain and update physical and electronic filing systems to enable quick retrieval and secure storage of important documents
  • Serve as a liaison between internal departments and external parties to promote clear communication and smooth coordination
  • Support Directors with ad hoc projects and duties, demonstrating flexibility and adaptability to meet evolving business needs
  • Represent the company at networking events and seminars to identify new contacts and arrange follow-up meetings that support business development
  • Travelling to overseas office may be required

Required competencies and certifications

  • Proficient in Microsoft Word, Excel, PowerPoint, and Chinese Word Processing to produce professional documents and presentations
  • Strong command of written and spoken English and Mandarin to communicate effectively with diverse stakeholders
  • Excellent telephone etiquette and multitasking skills to manage communications and prioritize tasks under pressure
  • Ability to work independently and maintain composure while meeting deadlines in a dynamic work environment
  • Exceptional organizational skills and attention to detail to ensure accuracy and efficiency in administrative processes

Preferred competencies and qualifications

  • Bachelor's degree in business administration or a related field with at least 1 year of relevant work experience
  • Prior experience supporting company owners or high-level executives, demonstrating understanding of executive needs and office dynamics
  • Flexibility to accommodate varying working hours as required to support business demands
