Position Summary:

This position will provide secretarial support to the manager's calendar and meeting management, AAIC team and administrative support to manage the industrial Smock and ESD shoes laundry and inventory. He/She will provide secretarial support to the AVS team, on travelling needs if they face any issue with their self-booking system, handle visitors of AAIC including hotel and transportation booking when needed, manage the facility needs with Facility department on behalf of AAIC Industrial Director where necessary, specific stationery orders as per needs by the team, support the quarterly Team Brief together with other secretaries, support and coordinate AAIC events, and ad hoc tasks assign to him/her. He/She is responsible for the industrial smock, ESD shoes and lockers, ensuring the regular cleaning of the smock and availability of the smock for the team.

• Provide secretarial support to AAIC team
• Work with the other secretaries to support AVS events, such as the Quarterly Team Brief, Airshow…etc
• Be part of the secretarial committee and back-up each other when necessary
• Accountable for the launderette of the smock, on-time collection and delivery from supplier to ensure continuous supply of clean smock for the team
• Manage the inventory of the ESD shoes, smock, show covers to ensure always available for the staff and visitors
• Booking of flights and hotels for industrial director and support others in the team for their self-booking system
• Manage the calendar of Industrial Director and meeting arrangement
• Writing and sending of memo or letter
• Collate information or reports from respective managers when needed

• Minimum Diploma qualification(or equivalent experience).
• Minimum 3 years of experience providing executive‑level administrative support, preferably within financial services or a multinational corporate environment.
• Strong organizational skills with the ability to manage multiple priorities in a fast‑paced, high‑pressure environment.
• Proven ability to work independently with sound judgment, discretion, and problem‑solving capabilities.
• Highly detail‑oriented, proactive, and solutions‑focused.
