Job Responsibilities
- Manage calendar and schedule appointments, meetings, and official engagements for department head
- Handle general administrative duties including typing, scanning, making appointments, coordinating meetings, and booking meeting rooms
- Answer and screen telephone calls and enquiries
- Establish and maintain filing systems and process incoming/outgoing mail
- Track and follow up on matters requiring the attention of the department head
- Assist with administrative setup for new team members (e.g., access setup, workstations, office supplies)
- Provide administrative support to department staff, including temporary or rotating personnel
- Draft, format, and prepare official documents and correspondences
- Coordinate and align schedules with other team administrators
- Generate monthly rosters or team schedules
- Compile and prepare departmental statistics and monthly reports
- Maintain updated contact directories
- Assist in the processing of staff-related claims (e.g., overtime, allowances, training)
Job Requirements
- Min GCE N/O or A Levels / Diploma and above
- Keen interest in the healthcare/ medical industry
- No experience needed, full training will be provided
- Basic knowledge of Microsoft Office
- Able to start work immediately
