We are looking for a 1-year contract Sea Freight Operations Executive to join our Singapore team and will report to the Sea Freight Assistant Manager.
Responsibilities
- Communicate with clients via various channels, including phone, email, and online platforms, to provide updates on shipment status, transit times, and delivery schedules.
- Collaborate closely with internal teams such as operations, logistics, and sales to ensure the smooth execution of import, export, cross-trade shipments, and trucking activities.
- Assist customers with document preparation, including bills of lading, customs declarations, shipping instructions, and other relevant paperwork required for shipment processing.
- Handle both Less than Container Load (LCL) and Full Container Load (FCL) shipments, including hazardous materials, ensuring accurate scheduling and compliance with safety regulations.
- Arrange for the collection of Delivery Orders (DO) and Bill of Lading (B/L) documents from relevant parties to facilitate shipment processing.
- Manage multiple shipments concurrently, overseeing each shipment from initiation to completion with attention to detail and efficiency.
- Demonstrate self-motivation and independence in handling freight forwarding operations, efficiently managing tasks without constant supervision.
- Arrange customs clearance and documentation for shipments, ensuring compliance with international trade regulations and customs requirements.
- Conduct job costing and billing activities accurately, ensuring that all relevant costs are accounted for and invoices are prepared and submitted promptly.
- Follow company Standard Operating Procedures (SOPs) and Key Performance Indicators (KPIs) to maintain operational standards and achieve performance targets.
- Maintain daily and regular shipment reports to track progress, identify issues, and make informed decisions for process improvements.
- Propose recommendations for improving methods in cargo documentation processes based on industry standards and best practices.
- Review customer needs and feedback to identify opportunities for enhancing freight operations processes and customer satisfaction.
Requirements
- Previous experience in freight forwarding operations, with knowledge of import/export procedures, documentation, and customs clearance processes.
- Strong communication skills and the ability to interact effectively with clients, internal teams, and external stakeholders.
- Proficiency in handling both LCL and FCL shipments, including hazardous materials, with a focus on accuracy and compliance.
- Excellent organizational and multitasking abilities, with the capacity to manage multiple shipments concurrently and prioritize tasks effectively.
- Self-motivated and capable of working independently to achieve objectives without constant supervision.
