Personnel to be deployed at the following hours:
. Mondays to Thursdays: 8:30am to 6:00pm, inclusive of 1hr lunch break
. Fridays: 9:00am to 6:00pm, inclusive of 1hr lunch break
. Service not required on Saturdays, Sundays and gazetted public holidays
Qualification, Skill & Experience
The Personnel shall minimally have obtained A level qualifications or its equivalent, and should preferably have the following skills and experience:
- Experience Working in front counter services
- At lease 3 years of experience in administration
- Proficient in IT environment, MS Office, Whatapps Chat,
- Good communication and inter-personal skills
- Good team player with a high level of initiative
- Able to Multitask, Good Social skills & Problem solving
Roles & Responsibilities
1.Reception Duties
- Manage school front counter services and ensure smooth daily operations
- Attend to visitors, parents, staff, and students, addressing enquiries and needs professionally
- Handle phone enquiries and complaints in a timely and courteous manner
- Take accurate messages and ensure they are relayed to the appropriate staff
- Transfer calls efficiently to relevant personnel
- Maintain office inventory, including stationery and administrative supplies
- Receive, sort, and distribute incoming and outgoing mail
- Oversee the lost and found process
- Manage loan records of school items (e.g., uniforms, umbrellas)
- Provide general administrative support to the administration office
- Perform data entry and other duties as assigned
2.Student Service Duties
- Manage student early release processes, including proper documentation and parent communication
- Coordinate effectively between Form Teachers and the Student Management Team (SMT) regarding student movements
- Monitor and track student attendance, late arrivals, and CCA participation
- Provide real-time attendance updates to support the SMT
- Handle student cellphone confiscation procedures in accordance with school policies
- Assist with documentation for sick bay visits, ambulance cases, and incident reports
- Manage issuance of student lift passes
