Scope of Services
Reception Duties
Manage school front counter services
Handle visitors, parents, staff, and students, addressing their needs promptly
Handle queries and complaints via phone
Take and ensure messages are passed to the appropriate staff
Transfer calls as necessary
Manage office inventory such as stationery and administrative stores
Receive and deliver all incoming and outgoing mail
Handle lost and found process
Manage loan records of school items (e.g., uniform, umbrella, etc.)
Provide general administrative support to the admin office
Data entry and any other duties assigned by the school
Student Service Duties
Manage student early release (recording and contacting parents)
Coordinate between Form Teachers and Student Management Team (SMT) on students movement (e.g., responding quickly to incoming messages, processing them, and alerting the SMT)
Monitor students late coming, attendance, and CCA attendance (involving data entry, collating information, and processing)
Provide real-time attendance information to support SMT
Manage the student cellphone confiscation process
Assist in sick bay recording, ambulance recording, and incident recording
Manage student lift pass issuance
Qualification, Skill & Experience
The personnel shall minimally have obtained A Level qualifications or equivalent, and should preferably possess the following skills and experience:
Experience working in front counter services
Experience working in a school environment
At least 3 years of experience in administration
Proficient in IT environment, including MS Office and WhatsApp Chat
Good communication and interpersonal skills
Good team player with a high level of initiative
Able to multitask
Good social skills
Problem-solving skills
