We are looking for a Client Relations & Operations Senior Executive who is warm, meticulous, emotionally intelligent, and highly responsive. This role is ideal for someone who genuinely enjoys caring for clients, keeping things organized, and ensuring no detail falls through the cracks.
You will play a critical role in ensuring smooth communication and operational coordination across the boutique.
You will:

Responsibilities
1. Client Communication & Follow-Up
- Respond promptly and professionally to client inquiries via WhatsApp, email, and calls
- Ensure no inquiries, follow-ups, or important messages are missed
- Maintain a warm, polished, luxury-level communication style
- Follow up consistently with leads and existing clients
- Handle emotional or escalated client situations calmly and professionally
- Protect and uphold the reputation and client experience of the brand
2. Sales Operations (Backend Support)
- Create accurate invoices, purchase orders, and payment documents using Zoho
- Verify all client payments
- Maintain accurate, real-time updates in Airtable and internal systems
- Purchase Orders & Vendor Coordination
3. Accounts Reconciliation & Daily Settlement
- Perform daily sales closing and settlement reconciliation
- Reconcile invoices, deposits, outstanding balances, and payment records accurately
- Ensure proper tracking and recording of client security deposits
- Flag discrepancies, missing payments, or inconsistencies promptly
- Liaise with Finance team to ensure accuracy and completeness of records
- Maintain organized settlement reports and supporting documentation
4. Operations & Cross-Department Coordination
- Liaise with the Operations team on gown alterations, readiness, and deadlines
- Track shipping updates, designer confirmations, and logistics
- Ensure timely communication across Sales → Ops → Finance
- Maintain updated forms, SOPs, and internal documentation
- Support boutique-wide operational needs during peak periods
5. Appointment & Client Journey Support
- Support scheduling and coordination of client appointments
- Send appointment confirmations, reminders, and pre-appointment information
- Ensure all client records and preferences are accurately updated in CRM
- Support stylists by preparing necessary client information ahead of appointments
- Ensure appointment schedules are accurate with no clashes or missed coordination
6. General Administrative Support
- Maintain filing and document organisation on Google Drive
- Update client records, measurement logs & operational trackers
- Manage procurement of office supplies for boutique operations
- Provide administrative assistance to management when required
7. Process Improvement & Systems Thinking
• Identify inefficiencies in workflows and propose improvements
• Support implementation of SOPs and automation tools
• Ensure all processes are scalable as the business grows

Requirements
- 5+ years of experience in client relation, customer service/sales environment, sales co-ordination, clinic coordination, backend sales operations or reconciliation support
- Exceptional written communication skills with a strong command of English.
- A polished, empathetic, and service-oriented approach to client interactions.
- Proficient in using WhatsApp Business, Instagram/Facebook DMs, email platforms, and CRM systems.
- Highly organised with the ability to manage multiple conversations simultaneously.
- Tech-savvy, adaptable, and comfortable navigating new tools and platforms.
- A genuine passion for bridal fashion, luxury service, and delivering memorable client experiences.
- Strong analytical skills with high attention to detail and accuracy.
- Excellent organizational and time-management abilities.
- Ability to work independently and handle confidential information with discretion.
