Job Summary
The Sales Operations Executive operates by managing product quotations, coordinating with vendors and distributors, processing sales orders, and ensuring timely delivery to customers.
Responsibilities
Vendor & Distributor Coordination
- Request RFQs (Request for Quotation) from distributors and vendors to obtain product pricing
- Compare vendor and distributor pricing to source competitive options
- Build and maintain strong relationships with distributors and vendors to secure better support, pricing, and product availability
Sales Operations Support
- Prepare and issue accurate invoices and delivery orders (DO)
- Coordinate with internal teams to ensure smooth order processing
Order & Delivery Coordination
- Arrange product deliveries to customers and ensure timely fulfilment
- Communicate with customers regarding delivery schedules and order updates
Inventory & Procurement Follow-up
- Follow up with vendors and distributors on stock availability, especially for indent orders
- Monitor order progress and provide timely updates
Customer Communication
- Provide customers with order confirmation updates and estimated time of arrival (ETA)
- Inform customers promptly of any delivery changes or delays
- Maintain good relationships with customer
Key Skills
- Communicate clearly and coordinate effectively with vendors, distributors, internal teams, and customers to support sales operations
- Manage multiple orders simultaneously with strong organizational and administrative skills
- Use Microsoft Office (Excel, Word, Outlook) proficiently to support documentation and communication
- Maintain positive relationships with vendors, distributors, and customers to facilitate smooth operations
Preferred competencies and qualifications
- Prior experience in IT product distribution or sales operations
