Job Overview:
We are seeking a highly organised and proactive Sales & Marketing Administrator to become the central hub of our customer communications and brand growth. This role is critical for systemising our sales pipeline, enhancing our digital presence, and ensuring a seamless customer journey from initial inquiry to project completion. The ideal candidate is a multitasking maestro with impeccable PR skills and a passion for the automotive industry.
Key Responsibilities:
1. Lead Management & Sales Administration:
- Act as the first point of contact, managing all incoming leads across multiple channels including phone, WhatsApp, Email, Instagram, Facebook, Carousell, and TikTok.
- Meticulously track and update the status of all leads in our CRM system (from initial inquiry to quote, booking, and completion).
- Prepare and issue detailed quotations and invoices promptly.
- Schedule appointments and manage the workshop calendar for project bookings.
- Conduct systematic follow-ups on outstanding quotes to convert leads into confirmed sales.
- Handle walk-in customers and ensure all workshop job sheets are prepared with accurate customer and vehicle information.
2. Marketing & Brand Development:
- Develop and manage a content calendar for all social media platforms.
- Create compelling marketing assets, including high-quality before/after photos and videos of completed projects.
- Draft engaging copy for social media posts, website content, and promotional materials.
- Implement strategies to generate customer testimonials and online reviews to build strong social proof.
- Execute targeted digital marketing campaigns, including boosting top-performing posts to increase brand awareness and lead generation.
- Manage and update company profiles on platforms like Google Business Profile and LinkedIn.
- Stay ahead of the latest digital marketing trends to keep our brand relevant and top-of-mind.
3. Operational & Administrative Support:
- Liaise with material suppliers to monitor stock levels, place orders, and track shipments.
- Maintain a simple inventory log to ensure optimal levels of popular vinyl colours and PPF.
- Prepare regular reports on lead generation, conversion rates, and project profitability.
- Send pre-appointment reminders and post-project follow-up communications.
- Handle payment collection and ensure all receivables are collected in a timely manner.
- Perform other ad-hoc administrative duties as assigned.
Requirements:
- Open to Singaporeans and Singapore Permanent Residents only.
- Proven experience in a sales administration, digital marketing, or customer service role.
- Exceptional communication and interpersonal (PR) skills, with a professional and friendly phone/email manner.
- Excellent ability to multitask, prioritise, and manage time effectively in a fast-paced workshop environment.
- Proficiency in Microsoft Excel/Google Sheets and social media platforms (Instagram, Facebook, TikTok).
- A self-starter with a keen eye for detail and a problem-solving attitude.
- An interest in the automotive industry is a strong advantage.
- Able to commit with 6 workdays/ week (Monday to Saturday).
- Work hours follows workshop operating hours from 10 am to 7 pm.
- Rest on Sundays and Singapore Public Holidays
