Job Description

Position Summary

As part of our digital transformation journey, we are creating a new role within our partner company to drive operational excellence and support business growth. This position offers a unique opportunity to be part of a core team leading the digitalization of both frontend and backend operations.

This hybrid role blends sales coordination, administrative support and is critical to ensuring smooth backend operations while contributing to business development in the corporate and commercial construction sector.

Our strategic intent is to use digitalization as the enabler and foundation for implementing advanced systems, including AI-driven workflows, analytics, and automation. The journey will be challenging but highly rewarding, offering the opportunity to shape how technology transforms our business.

Key Responsibilities

Sales Support

  • Monitor tender portals (e.g., GeBIZ) and identify relevant opportunities.
  • Coordinate with the Project Manager for timely tender submissions.
  • Prepare and manage quotations, proposals, and supporting documents for bids.
  • Maintain organized records of client communications, contracts, and sales activities.
  • Represent the company at meetings, briefings, and industry events to build relationships.

Project & Operations Support

  • Handle general office administration and procurement tasks.
  • Manage stock and ensure efficient deployment of equipment to customer sites.
  • Act as the primary point of contact for vendors and suppliers.
  • Support project handovers by liaising with operations and site teams.

General Finance Support

  • Assist with invoice preparation, payment follow-ups, and expense tracking.
  • Coordinate with external Accountant and HR provider for payroll and compliance matters.

Digital & IT Enablement

  • Support ERP system implementation and train staff on system usage.
  • Provide basic IT support for office systems and software.
  • Assist in implementing digital workflows to improve efficiency and reporting.

What We Are Looking For

  • Strong sales coordination, communication, and administrative skills.
  • Diploma/Degree in Engineering/Business Management or relevant
  • Willingness to learn and adopt digital tools in a Microsoft-centric environment.
  • Healthcare sector experience or experience in surveillance and access control industry will be an advantage.
