Job Summary
We are seeking an organized and detail-oriented Sales & Admin Executive to join our team at Euro-Asia Design & Construction Pte Ltd, a Marine Construction Company. The successful candidate will be responsible for handling all administrative paperwork, providing support to the HR department & Operations team, and ensures smooth operation. This role requires excellent communication skills, attention to detail, and the ability to multitask.
Responsibilities
- Generate daily operation timesheets for the operations team to facilitate timely approval and payroll processing
- Consolidate daily supplier invoices, obtain necessary signatures, and upload documents to the server for accurate record-keeping
- Maintain and update employee leave records to ensure compliance with company policies
- Tabulate employee overtime hours to support payroll and operational planning
- Prepare operational documents such as Service Reports and Port Entry documents to support project execution
- Manage and maintain accurate physical and digital records and files to ensure easy retrieval and compliance
- Handle incoming and outgoing mail, emails, and faxes to support effective communication flow
- Coordinate meetings, training courses, and travel arrangements for employees and management to optimize scheduling and logistics
- Maintain office supplies, inventory, and assets to ensure uninterrupted office operations
- Manage the company LinkedIn account daily to enhance online presence and engagement
- Contact and arrange meetings with potential clients to support sales efforts and business development
- Coordinate with project managers to confirm sales details and ensure smooth project handover
- Liaise with accounts department on billing matters to ensure accurate invoicing and payment follow-up
- Send Statements of Account (SOAs) to clients to maintain transparent financial communication
- Implement and monitor compliance with company policies, procedures, and regulatory requirements to uphold standards
- Develop and improve administrative processes and procedures to increase operational efficiency
- Deliver excellent customer service to employees, management, and external stakeholders to foster positive relationships
- Perform additional tasks as assigned by management to support business needs
