Job Description

Summary

The Sales Admin will function as the administrative support to the Sales Team. This role requires an experienced and well-organized Sales Admin to provide the necessary support to the field sales team in a fast paced. The successful candidate will become the point of reference for colleagues and customers alike, by keeping schedules and providing feedback, documentation and information. The goal is to facilitate the team's activities so as to maximize their performance and the solid and long-lasting development of the company

Responsibilities

  • Coordinating the sales team by managing the filing of important documents, maintaining important data such as storing and sorting of sales function related data in electronic form, and communicating relevant information for smooth sales operations.
  • Responding to sales team's requests on tender bid process (from pre-qualification, to bidding and post award phase) including but not limited to the preparation, coordination and scheduling of works to ensure smooth and successful bid submission.
  • Preparation of simple quotations.
  • Preparation and presentation of pipelines tracking reports, sales and all related functional reports for business unit.
  • Handle the processing of all orders received by sales with accuracy and timeliness.
  • Monitor the team's progress and identify shortcomings of administration process and propose improvements where necessary.
  • Assist in the preparation and organizing of promotional materials and marketing events.
  • Ensure adherence to internal workflow policy.

Requirements:

  • Diploma/Degree in Business, Marketing, Administration, or a related field.
  • Fresh graduates are welcome prior experience in sales support or administration is an advantage.
  • Proficient in Microsoft Word, PowerPoint, Excel, and Canva (or equivalent design tools).
  • Strong communication and coordination skills - comfortable speaking with customers and internal teams.
  • Hardworking, detail-oriented, and able to handle multiple tasks with minimal supervision.
  • Ability to handle maintenance contracts and renewals independently.
  • Strong problem-solving mindset and willingness to take initiative (proactiveness).
