Job Description

Reporting to: Area Sales Manager

Duty post: Singapore

SALES ADMIN ASSOCIATE

As Sales Admin Associate, you will serve as the representative for both Joint Industry Dispenser and Environment Health Safety (EHS) within the company. You will need to ensure smooth operations by supporting fleet management and providing comprehensive administrative support to the Sales team. In addition, the incumbent will be responsible for handling various ad-hoc tasks and ensuring that all departmental needs are met efficiently and effectively.

As the Sales Admin Associate under the area of Sales Team you will do the following:

Fleet Management:

  • Coordinate and schedule regular servicing, repairs, and maintenance for the company fleet to ensure vehicles are in optimal condition.
  • Monitor and track petrol consumption, ensuring efficiency and cost-effectiveness.
  • Administer the top-up of cash cards for fleet vehicles.

JID Management:

  • Serve as the primary point of contact for retailers from JTI when there is new outlet openings or any JID/storage repair needs.
  • Collaborate with JID vendor to ensure that all works are done in a timely and proper manner.

EHS/Bizsafe 3 Main representative from Sales:

  • Act as the primary point of contact for EHS (Environmental Health & Safety) matters at both global and regional levels.
  • Conduct quarterly driver safety meetings and ensure the timely completion of all necessary tasks to uphold safety standards (incl. arranging for defensive driver training for new SRs/refresher courses etc).
  • Attend relevant trainings/prepare documentation for Bizsafe 3 if required.

Administrative management for TME sales:

  • Verify Outlet forms against TME Sales records and maintain proper filing.
  • Conduct random checks on invoices with acknowledgements, ensuring accurate documentation and timely follow-up.

Administrative management for sales team:

  • Monthly leave & Medical Leave tracking and verification for Sales Representatives.
  • Procure necessary materials for the sales Operations team.

Sales Report:

  • Relevant weekly/daily sales reporting.
  • Ad hoc sales data extraction as required.

Requirements

  • Preferably candidates with O-Level qualifications, up to a Diploma holder
  • Minimum 1-2 years&apos experience in similar capacity in FMCG industry
  • Fluent in English and local dialects would be an advantage
  • PC literate & preferably knowledge in SAP
