Job Description

  1. The Employee primary duties and responsibilities:

  2. Preparing and issuing invoices to dealers and clients promptly and accurately

  3. Maintaining accurate record of sales orders, customer transactions, and payment details

  4. Managing and updating customer account details and ensuring records are up-to-date in the system

  5. Serving as the primary point of contact of salesperson regarding order processing, delivery timelines, and billing inquiries.

  6. Handling salesperson requests, resolving issues related to orders or invoices.

  7. Processing sales orders and coordinating with relevant departments (e.g., warehouse, logistics) to ensure timely order fulfilment.

  8. Monitoring stock levels and collaborating with the warehouse to handle inventory-related concerns.

  9. Ensuring that all out-of-stock items are reported and managed accordingly.

  10. Liaising with sales teams on order status, special requirements, or any administrative needs.

  11. Ensuring adherence to company policies on discounts (e.g., maximum 10% discount, ID rebates) and recording any discounts or rebates offered

  12. Applying discounts appropriately based on client category (e.g., ID referrals).

  13. Generating reports on sales activities, outstanding invoices, and other key metrics.

  14. Providing feedback to sales management on customer needs, product availability, and administrative improvements.

  15. Assist the sales team by providing them with the necessary information, documents and materials to facilitate their sales effort.

  16. respond and be on standby to monitor available service slots for incoming calls, and promptly respond to inquiries from the sales team about scheduling arrangements or dates.

  17. Responsible for providing a response to dealers calls with regards to the status of scheduled servicing slots

  18. Generate sales report on highlight dealers and update sales person on dealers that are on KIV and prepare for reorder status to keep sales team on track

  19. Issue payment reminders to dealers

  20. Any other administrative tasks that directly or indirectly contribute to the sales team & accounts team morale and performance

  21. Any other ad-hoc function as requested by company from time to time.
