Job Description

Key Responsibilities

  • Manage and coordinate resource assignments across projects and service engagements.
  • Work closely with internal stakeholders to ensure timely and accurate allocation of resources based on business requirements.
  • Administer and track third-party (pass-through) orders, ensuring proper documentation, approvals, and fulfillment.
  • Coordinate with vendors and external partners regarding resource availability, onboarding, renewals, and related operational matters.
  • Monitor resource utilization and support workforce planning activities.
  • Maintain accurate records of resource schedules, assignments, and vendor engagements.
  • Provide project administration support, including tracking resource movements, timesheets, and project-related documentation.
  • Support procurement and purchasing processes where required, particularly for third-party resources and services.
  • Escalate resource conflicts, scheduling challenges, and vendor issues in a timely manner.
  • Generate reports and provide updates to management on resource allocation and vendor performance.

Requirements

  • With 2-5 years of experience in Resource Management, Resource Scheduling, Vendor Management, Project Administration, PMO Support, or related operational roles.
  • Experience coordinating with external vendors and managing third-party resources.
  • Strong administrative and organizational skills with excellent attention to detail.
  • Ability to manage multiple priorities and deadlines simultaneously.
  • Proficient in Microsoft Excel and Microsoft Office applications.
  • Strong communication and stakeholder coordination skills.
  • Comfortable working in a fast-paced operational environment.

Preferred

  • Experience managing pass-through orders, contractor resources, or outsourced service providers.
  • Understanding of project lifecycle and resource planning concepts.
  • Experience in procurement coordination or purchase order administration.
  • Prior experience within IT services, technology consulting, or managed services environments.
  • Basic project coordination or PMO experience.
  • Familiarity with ERP, PSA, resource management, or workforce planning tools.
