Job Description
The successful candidate will provide administrative and operational support to the research group, taking responsibility for thenon-scientific aspects of day-to-day laboratory and research operations.The role is intended to support researchers by coordinating administrative, procurement, financial, logistical, and general laboratory operational matters.
Job Responsibilities
- Procurement and Vendor Coordination: Obtain quotations, raise purchase requisitions, liaise with vendors, track deliveries, and monitor consumables and cryogen stock levels
- Travel and Financial Administration: Process Concur claims, coordinate travel bookings and visa-related documentation, follow up on invoices, and track expenditure against the relevant fund codes
- Administrative Support: Prepare and process University, Faculty, and grant-related forms, as well as safety, access, and other administrative documentation
- Onboarding and Visitor Support: Coordinate the onboarding of new team members and visitors, including the necessary administrative, access, and logistical arrangements
- Meeting Coordination: Schedule group meetings, prepare and take meeting minutes, and follow up on action items through to completion
- Knowledge and Records Management: Maintain and update the group's Notion knowledge base, including equipment logs, fabrication recipes, Standard Operating Procedures (SOPs), templates, and other relevant records
- General Operational Support: Assist with general errands and operational matters on campus and coordinate with external vendors as required
Qualifications
- Diploma or Bachelor's degree in any discipline
- Strong written and spoken English communication skills
- Confident in liaising and communicating directly with vendors and relevant University offices
- Self-motivated and able to demonstrate initiative in carrying out assigned tasks independently
- Good organizational and interpersonal skills, with the ability to follow up on tasks and coordinate with multiple stakeholders
