Job Description

Job Summary

We are seeking an organized and proactive Regulatory Affairs Executive to support the regulatory compliance of our cosmetic products in Singapore and Malaysia. You will manage product notifications, maintain regulatory databases, support post-market surveillance, and serve as a key liaison between internal stakeholders and regulatory authorities to ensure all products meet local regulatory requirements and timelines.

Key Responsibilities

Regulatory Submissions & Approvals

  • Prepare and submit cosmetic notification dossiers to regulatory authorities in Singapore (HSA) and Malaysia (NPRA) to obtain and maintain product approvals.

  • Track and manage product notifications, renewals and cancellations within required regulatory timelines.

  • Ensure completeness and accuracy of submission documents, labelling information, and safety data in compliance with local guidelines.

Regulatory Monitoring & Compliance

  • Maintain up-to-date knowledge of regulatory requirements, guidance, and changes relevant to cosmetic products in Singapore and Malaysia.

  • Monitor regulatory news and developments in ASEAN cosmetic regulations and provide insights to the internal team.

Internal Coordination

  • Provide timely updates to internal stakeholders and headquarters regarding status of product notifications, approvals, renewals, and cancellations.

  • Partner with internal and external stakeholders to ensure regulatory compliance throughout the product lifecycle.

  • Review claims according to regulatory guidelines for advertising.

Database & Record Management

  • Manage and maintain an accurate database of cosmetic products by brand, including notifications, approvals, renewals, cancellations, and other regulatory records.

  • Support audit readiness by ensuring all regulatory documentation is current and organized.

Post-Market Surveillance

  • Conduct internal post-market surveillance to monitor compliance with regulatory obligations throughout the lifecycle of products in the market.

  • Identify and address compliance issues, coordinate corrective actions, and support stability and safety monitoring as needed.

Qualifications

  • Bachelor's degree in Pharmaceutical Sciences, Cosmetic Science, Chemistry, Life Sciences, Regulatory Affairs or related field.

  • Minimum 1-3 years of experience in regulatory affairs, preferably in the cosmetics industry.

  • Knowledge of cosmetic regulatory frameworks in Singapore and Malaysia (HSA, NPRA/MOH).

  • Strong attention to detail and excellent organizational skills.

Core Competencies

  • Good understanding of cosmetic product registration and post-market compliance requirements.

  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.

  • Proactive problem solving and ability to work both independently and collaboratively.

  • Excellent data management and record-keeping skills.

  • Strong written and verbal communication skills in English

Preferred Attributes

  • Experience with regulatory databases and submission portals (e.g., HAS PRISM, NPRA QUEST3+).

  • Familiarity with ASEAN cosmetic regulatory harmonization initiatives.

  • Strong interest in regulatory and product trends and updates within ASEAN cosmetic markets.
