Role Overview
The Regional Business Coordinator will serve as the key bridge between our SEA market teams and Japanese brand principals/partners. This role ensures smooth communication, timely coordination of business activities, and effective preparation for meetings, visits, and market engagements.
The role also supports regional business operations, including itinerary planning, travel arrangements, and cross-market coordination, while providing secretarial support to the Head of Business, SEA.
This position requires high business awareness, excellent organisational skills, and the ability to engage with senior stakeholders across cultures.
Responsibilities:
- Serve as the primary liaison between regional teams and Japanese brand partners to ensure clear and effective communication.
- Provide accurate Japanese-English translation and interpretation with appropriate business context.
- Prepare and translate business materials, reports, and presentations for Japan-related engagements.
- Coordinate meeting follow-ups, action items, and documentation with Japanese business stakeholders.
- Organise and coordinate meetings, schedules, and engagement plans for regional market visits across Southeast Asia.
- Prepare detailed itineraries and agendas for visiting stakeholders and regional business activities.
- Liaise with local market teams to align schedules, documentation, and operational requirements.
- Manage travel arrangements, accommodations, transportation, and related logistics for regional and business trips.
- Provide executive and secretarial support to the Head of Business, SEA, including calendar management and meeting coordination.
- Prepare meeting notes, summaries, and follow-up documentation, including handling confidential information professionally.
- Support general administrative operations, including document management, internal coordination, and vendor liaison.
- Assist with expense claims, invoicing follow-ups, procurement support, and internal event coordination.
Requirements:
- Diploma or Degree in Business, Administration, Languages, or a related field.
- Minimum 3-5 years of experience in coordination, liaison, administrative, or business support roles.
- Proficiency in spoken and written Japanese (JLPT N1 or equivalent) for liaising with Japanese-speaking clients and stakeholders.
- Strong business acumen with the ability to translate and interpret accurately with appropriate commercial nuance.
- Excellent organisational, communication, and stakeholder management skills.
- Ability to work effectively in a fast-paced, multi-market environment.
- Demonstrated professionalism in handling confidential and sensitive information.
- Experience supporting senior stakeholders or regional teams is an added advantage.
